Responding to Inquiries:I begin my day by checking Google Voice for any new inquiries from potential tenants or current residents. Timely responses are crucial to providing excellent customer service and addressing any concerns promptly.
Managing Property Showings:Next, I coordinate and schedule property showings for prospective tenants. This includes confirming appointments, ensuring the property is prepared for viewing, and sometimes conducting the showings myself. I always ensure that each showing goes smoothly and professionally.
Conducting Background Checks:I perform thorough background checks on potential tenants using Innago. This allows me to assess their suitability based on our property policies. If Innago recommends an applicant, it usually indicates they meet income requirements (at least 2x the monthly rent). I also review criminal history and eviction records, and if an applicant has a history of financial issues, I verify the details and reconsider based on other factors.
Lease Management:I handle the creation and management of leases through Innago. This involves drafting leases, ensuring all details are accurate, and making any necessary amendments or renewals. My goal is to maintain clarity and consistency in all lease agreements.
Handling Maintenance Requests:Another key part of my role is managing maintenance requests. Tenants can submit requests through Innago, and I ensure they are processed and addressed by the appropriate personnel as quickly as possible. Keeping tenants happy and maintaining properties is a top priority.
Tracking Prospects:To keep track of potential tenants, I use the New Tenant Tracker app (Excel) to monitor inquiries, follow up on their status, and manage communication. This helps me stay organized and ensures no opportunity slips through the cracks.
Promoting Listings:I actively promote property listings on Facebook groups and other social media platforms to reach a broader audience. I also make sure the listings are up-to-date on the website, ensuring maximum exposure.
Managing Calls:Throughout the day, I handle inbound calls via Google Voice. Whether it's current tenants seeking assistance or prospective tenants inquiring about properties, I always provide top-notch customer service.
Addressing Rent Issues:I also monitor overdue rent payments and proactively reach out to tenants to resolve any issues. By addressing these matters early, I can often prevent larger issues from arising and ensure timely payments.
Facilitating Property Access:For property viewings, I use the Codebox platform to provide secure access codes to prospective tenants. This ensures a convenient and safe viewing experience.
Systems Used:Throughout my work, I rely heavily on systems like Innago for managing leases, performing background checks, and processing maintenance requests. For tracking prospective tenant leads, I use a Google Sheet (referred to as the "New Tenant Tracker") to track responses from potential tenants. After a prospect visits the website and fills out an application showing interest, the responses are sent to this sheet. I review the details and then reach out to the applicants to see what additional information they might need or to offer scheduling for a viewing. This Google Sheet helps me stay organized and ensures I follow up with each lead in a timely mUpgrade to see actual infor.
