Here's a glimpse into my daily routine:1. Morning Routine: I start my day by reviewing any emails, messages, or notifications received overnight or early in the morning. This helps me catch up on any urgent matters that may require immediate attention.
2. Data Management and Reporting: Each weekday, it is necessary for us to convene via a conference call for what we refer to as a "stand-up meeting." In my role as a scheduler, I am responsible for providing updates during these meetings. Specifically, I am tasked with sharing the Oasis schedule for both the current and previous days, outlining any pending paperwork from our clinicians, summarizing all supervisory visits, and reporting the current status of our hospitalized patients. This may involve generating reports, analyzing scheduling trends, and identifying areas for improvement to enhance efficiency and productivity.
3. Tracking hospitalized patients: To ensure alignment within our team, I make it a practice to contact the facility where our patient is admitted each morning to ascertain whether they remain hospitalized or have been discharged. This approach fosters cohesion and ensures that all teaUpgrade to see actual infombers are informed, synchronized, and alert to continue the home health care our patients need as soon as they are discharged.
4. Schedule Management: One of my primary responsibilities is to manage schedules for nurses, therapists, or caregivers. This involves creating and updating schedules based on staff availability, patient needs, and organizational requirements. I would use the Wellsky scheduling software to input shifts, make adjustments, and ensure adequate coverage at all times.
5. Communication and Coordination: Throughout the day, I should engage in constant communication with staff members, supervisors, and other relevant parties. We use Outlook as our email tool and Home Health Notify as our communication tool to track and monitor patients's care. This communication is important; it may include confirming shifts, resolving scheduling conflicts, and addressing any concerns or inquiries that arise. Effective communication is key to keeping everyone informed and maintaining a cohesive schedule.
6. Patient and Staff Support: As a liaison between patients and staff, I assist with coordinating appointments, managing patient schedules, and addressing any issues related to scheduling or availability. Additionally, I provide support to staff members by offering guidance on schedule changes, time-off requests, and other related matters.
7. Problem-Solving and Adaptation: In a dynamic healthcare environment, unexpected challenges and changes are inevitable. As a scheduling coordinator, I quickly adapt to unforeseen circumstances, such as staff absences, last-minute schedule adjustments, or emergencies. I should solve the problem and find solutions on the fly, which is crucial to keeping operations running smoothly.
8. Team Collaboration: Collaboration with other departments, such as intake and clinical teams, is essential for effective scheduling coordination. You'll work closely with these teams to ensure alignment between staffing needs and patient care requirements.
