In this role, we are seeking a highly motivated and organized individual to join our team as an EA to a Nonprofit and Real Estate Executive. This Executive is searching for an EA that can triage email, handle calendar management, offer support in project management while they fundraise and oversee the organization. This Executive also runs a full-service vacation rental and they need support in scheduling, vendor relationships and project management. This is a fantastic opportunity for a detail-oriented individual with exceptional organizational skills and a background in the nonprofit, social sectors and real estate to make a significant impact and grow within a successful organization.

Schedule:Monday - Friday 8am-5pm CST / 9pm -6am PHT

Pay Range: $1000-$1200 monthly

Duties and Responsibilities

Triage Executive's email inbox and respond to emails on the Executive's behalf
Manage complex calendars, including scheduling and coordinating meetings and appointments
Create and maintain a well-structured, easily searchable knowledge base using tools like Evernote or Notion
Prepare, proofread, and edit presentations, reports, and other documents
Assist in managing reimbursements through Expensify
Handle confidential and sensitive information with the utmost discretion and professionalism
Help support project management through software such as Asana
Conduct research and gather information to assist in decision-making and problem-solving
Serve as a liaison between senior executives, employees, and external stakeholders
Providing support in vendor relationships and management for the property management company
Capable of creating high quality Standard Operating Procedures (SOPs)
Requirements

Qualifications:

Minimum of 2-3 years of experience as an Executive Assistant or in a similar administrative role
Bachelor's degree in Business Administration, Communications, or related field preferred
A proven track record of supporting executives in a virtual setting is required
A background in the social sector, nonprofit work and real estate is not required, but beneficial
C2 level proficiency in English, both written and spoken

Skills:

Excellent verbal and written communication skills
Advanced proficiency in Microsoft Outlook and Gsuite
Strong organizational and time-management abilities
Knowledge of software like Expensify is a bonus
Ability to multitask and prioritize tasks effectively
Ability to work independently and collaboratively in a team-oriented environment
Attention to detail and problem-solving skills
High level of professionalism and discretion
Capable of working night shifts

Technical Requirements:

Reliable high-speed internet connection with a minimum speed of 50 Mbps download and 10 Mbps upload.
A modern computer or laptop with a multi-core processor (Intel i5 or higher/equivalent).
Proficiency with remote communication tools such as Zoom, Microsoft Teams, Slack, or Google Meet.
A noise-canceling headset with a microphone for clear communication.
