Key Responsibilities:
Scheduling & Calendar Management
- Coordinate complex schedules, optimizing time for case analysis, client calls, clinical advising, MTIH meetings, travel, events, and other engagements.
- Liaise with tea
PracticeBetter Development & Operations
- Add or update services and packages.
- Create and maintain workflows and automations.
- Create or update programs.
- Continual optimization of PracticeBetter usage to maximize operational efficiency and streamline client experience.
Presentation & Document Preparation
- Assist in preparing and reviewing PowerPoint presentations, researching topics, and aligning content to brand.
- Create, edit, organize, and streamline documents, client handouts, and team resources.
Media & Public Relations Support
- Maintain media kit.
- Pitch and schedule podcast interviews, aiming for two interviews per month.
- Ensure timely delivery of headshots, bios, and other materials to interviewers, media, and event organizers.
- Coordinate media inquiries, manage interview logistics, and act as a liaison with media contacts.
- Update bio and headshots while providing updates to various social media channels.
Content Production & Distribution Support
- Write and publish blog post announcements for podcast interviews following a template.
- Load article and recipe post content into WordPress following templates.
- Create Canva graphics.
- Schedule and manage social media posts.
- Edit videos and podcasts using Descript or another editor.
- Perform minor WordPress website updates.
Clinic Administrative Support
- Develop process flows that enhance efficiency and save time.
- Submit client lab kit orders.
- Monitor lab results and schedule clinical advising sessions.
- Organize client files.
- Create and maintain client handouts.
- Maintain clinical tools such as spreadsheets, laboratory reference ranges, and quick reference guides.
- Handle client scheduling.
Administrative, Practice, & General Support
- Perform varied administrative tasks to streamline workflow and balance a demanding schedule.

Qualifications & Skills:
- Proven experience as a Virtual Assistant or similar administrative role.
- Proficiency with scheduling tools and calendar management.
- Experience with PracticeBetter or willingness to learn.
- Strong communication skills and attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Familiarity with WordPress, Canva, Descript, and other content management tools.
- Knowledge of media relations and podcast scheduling is a plus.
- Background in clinical administration or health-related fields is an advantage.
