We are seeking a highly organized and proactive Virtual Assistant (VA) to support various administrative and real estate-related tasks. The ideal candidate will excel at multitasking, managing deadlines, and streamlining operations. This role offers flexibility and is ideal for someone interested in supporting real estate management, travel coordination, and event planning.
Key Responsibilities:
- Calendar Management: Efficiently schedule meetings, appointments, and events. Manage time tracking, invoices and tasks.

- Investor support: Draft and send investor updates, handle outreach, and manage CRM and follow-up activities
- Data Entry: Enter data into spreadsheets and databases accurately
- Research: Conduct online real-estate related research as needed. Strong proficiency using AI tools (ChatGPT, Perplexity, Claude, etc.) is needed.
- Basic Administrative Tasks: Prepare presentations, create documents, and assist with other administrative duties as needed
- Travel Coordination: Organize travel bookings (flights, hotels, transportation)
- Real Estate & Property Management support: Organize and standardize files (contracts, leases, financials), track payments, renewals, and manage vendor relationships (inspections, estimates)
- Marketing: Create and schedule content for social media using Canva, Adobe Suite, or similar design tools
Qualifications:
- Preferred: Bachelor’s degree from a top university in Business Administration, Communications, Real Estate, Marketing, or a related field.
- 2+ years of experience as a Virtual Assistant, Executive Assistant, or similar role
- Must be able to work US hours (Pacific Standard Time 2pm-7pm)
- Strong fluency in English
- Proficiency in Google Suite, Microsoft Office, and project management software (e.g., Asana, ClickUp, Notion, or
- Intermediate to advanced spreadsheet skills (pivot tables, formulas, automation)
- Demonstrated ability to manage property documents, lease tracking, and payment reconciliation using property management software
- Experience with CRM software (Salesforce, HubSpot, Pipedrive, or comparable)
- Social media content creation & scheduling experience (Canva + scheduling tools)
- Experience with AI tools (ChatGPT, Claude, Perplexity) for workflow efficiency
- Nice-to-have: Experience with workflow automation tools (Zapier, Make, or Power Automate)
- Strong desire to learn and build systems
- Extremely strong organizational and time management skills
- Excellent written and verbal communication skills
- Strong ability to efficiently prioritize tasks
- Must provide references or portfolio demonstrating relevant experience
