Role Overview:
Are you a highly organized, proactive professional who thrives on creating structure, solving problems, and ensuring everything runs smoothly behind the scenes? I’m looking for an Operations & Support Specialist to be my right-hand go to.
In this role, you’ll manage the operational side of the business—organizing systems, supporting course creation, handling social media fulfillment, and ensuring tasks are completed efficiently. You’ll have the freedom to take ownership of your responsibilities, identify opportunities for improvement, and be a critical partner in helping me focus on growing the business.
This isn’t a role for someone new to virtual assistance or operations. I need someone who has done this before, understands the backend of running an online business, and can step in with confidence from day one. If you love being the go-to person for getting things done and take pride in your work, this role is for you.


What You’ll Be Doing:
Here’s a look at your key responsibilities:
Course Creation & Management:
Assist in creating, managing, and organizing course content using platforms like Skool, System.io
Set up and manage course modules, landing pages, and email automations.
Troubleshoot course-related issues and support course participants
Maintain course schedules and ensure deadlines for content creation and updates are met.
Organizing Systems:
Manage and organize files in Google Drive and airtable to keep everything tidy and easy to find.
Create and update workflows or checklists (SOPs) for recurring tasks.
Troubleshoot and solve issues as they arise
Social Media Fulfillment:
Schedule and post content on platforms such as TikTok
Respond to comments, messages, and questions from followers or community members.
Monitor engagement metrics and flag trends or opportunities for improvement.
Maintain a consistent posting schedule and ensure all content is accurate and on-brand.
Managing Data & Spreadsheets:
Update and maintain spreadsheets for tracking tasks, projects, or metrics.
Create simple reports or summaries to provide insights and updates.
Organize and document important information in an easy-to-use format.
Managing Tasks:
Track deadlines and ensure nothing falls through the cracks.
Take tasks off my plate and see them through from start to finish.
Keep me updated on progress and flag anything that needs my attention.
Providing Support:
Respond to emails and customer inquiries with care and professionalism.
Help onboard and support new community or course members.
Identify and suggest ways to improve systems and processes to make things run more efficiently.

What You Bring:
3+ years of experience in a virtual assistant, operations, or course support role.
Proven track record of supporting small businesses, online coaches, course creators, membership site owners or entrepreneurs.
Familiarity with tools like Google Drive, Dropbox, Airtable, Zapier, Skool, System.io, Canva, Typeform, and CapCut.
Experience managing course platforms, creating automations, and supporting students or community members.
Confidence in managing tasks, organizing workflows, and solving problems independently.
Excellent communication skills and a positive, team-focused attitude.
