JOB OVERVIEW

Job Description:

We are seeking a detail-oriented and organized Purchasing Assistant to support our Executive Purchaser. This role involves handling various purchasing tasks and serving as a vital link between the Purchaser, Warehouse, Finance, and Vendors to ensure seamless communication and efficient operations.

Key Responsibilities:

1. Purchase Order (PO) Management

Generate and review daily and weekly reports of POs in the pipeline.

Collaborate with vendors and overseas agents to track delivery timelines and schedules.

Monitor delays and promptly communicate them to the team as needed.

2. Data Analysis & Issue Resolution

Analyze receipt reports to identify discrepancies, such as short-shipped or missing orders.

Investigate and resolve such issues with vendors and shippers to secure credits or complete deliveries.

3. Catalog & Spreadsheet Management

Maintain and update the master product catalog in collaboration with the Product Development team.

Track and manage an ongoing spreadsheet of issues and related data.

4. Logistics Coordination

Coordinate with the warehouse, forwarders, and trucking companies for an efficient and prioritized delivery schedule.

Review Calendly for accuracy and resolve container-related issues.

Monitor shipment costs to identify savings and cost efficiencies.

Work with customs brokers to ensure proper classification filings and cost savings where feasible.

5. Quality Control & Vendor Communication

Liaise with various quality control teams and vendors regarding any identified issues.

6. Financial Tasks

Close POs and process billing efficiently.

Schedule weekly prepayments and maintain a 4-8 week cash flow prepayment pipeline.

Required Skills & Qualifications:

Highly detail-oriented with strong organizational skills.

Computer literate with proficiency in spreadsheet and data management.

Strong verbal and written communication skills.

Ability to multitask and work in a fast-paced environment.

Previous experience in purchasing, logistics, or supply chain management is a plus.
