JOB OVERVIEW

Job Summary:
We are seeking a highly organized and detail-oriented Legal Administrative Assistant to support a busy law firm with essential administrative and legal tasks. The ideal candidate will have experience in legal billing, document management, calendaring, and client file organization. This role requires strong attention to detail, the ability to track deadlines, and familiarity with legal procedures. Experience with Timeslips, Westlaw, and legal calendaring systems is highly desirable. The candidate must be proactive, tech-savvy, and capable of handling confidential information with discretion.

Required Skills:

• Strong administrative skills with experience in legal billing and documentation.
• Proficiency in Timeslips for billing attorney time, cost logs, and research expenses.
• Ability to organize and maintain client case files digitally, including scanning and labeling exhibits.
• Expertise in calendaring legal deadlines, hearings, depositions, and trial schedules.
• Ability to track upcoming deadlines and send timely reminders to attorneys.
• Experience with scheduling hearings and coordinating with the court.
• Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, and Adobe Acrobat).
• Ability to transcribe dictation and draft correspondence on law firm letterhead.
• Research skills, including running TLO people searches and retrieving information from Westlaw.
• Excellent organizational and time-management skills.
• Strong communication skills, both written and verbal.
• High level of confidentiality and professionalism when handling legal documents.

Experience & Qualifications:

• 2+ years of experience in a law firm or legal environment preferred.
• Experience with billing software such as Timeslips is strongly preferred.
• Familiarity with court filing procedures and case deadlines.
• Experience handling confidential legal documents and maintaining compliance with firm policies.
• Prior experience in exhibit preparation and trial/hearing file organization is a plus.
• Strong ability to work independently and remotely with minimal supervision.
• Prior experience in dictation/transcription is a plus.
