JOB OVERVIEW

Receive and process customer orders promptly and accurately
Coordinate with warehouse and distribution teams to ensure timely order fulfillment
Respond to customer inquiries, concerns, and requests in a timely and professional manner
Provide information about order status
Maintain effective communication with customers, carriers, and internal teams
Notify customers of any delays, backorders, or issues that may impact their shipments
Address and resolve customer issues, such as order and/or inventory discrepancies and shipping errors
Collaborate with other departments to resolve complex problems
Track and trace shipments to provide accurate and real-time information to customers
Proactively communicate any potential issues and provide solutions
Prepare and maintain accurate documentation for the warehouse and submit necessary documentation to the clients in a timely manner
Ensure compliance with all documentation and record-keeping requirements
Collaborate with other departments such as logistics, warehouse, and transportation to optimize customer service processes
Participate in regular meetings to discuss operational improvements and customer satisfaction initiatives
Stay updated on company policies, procedures, and product offerings
Participate in training sessions to enhance customer service skills and knowledge
Develops partnering relationships with customers
Answers incoming inquiries from customers through a variety of media (email, fax, website, phone, etc)
Quotes price and delivery to customers based on established pricing structures in order to maximize profit, while allowing for variance when appropriate.
Understands how to compute pricing for all types of processing and value added services available.
Has working knowledge of all types and grades of stock material, their basic applications and finds resources if additional information or service is necessary.
Prepares orders according to established standards and procedures.
Maintains awareness of customer’s credit standing and follows all company procedures regarding extending of credit and terms and conditions.
Completes the order process to insure prompt and accurate deliveries.
Coordinates with Account Managers, Inside Sales Manager and the Director of Branch Operations to resolve any customer issues and maximize opportunities.
Makes out-calls when able to develop customer base.
Set customer expectations and maintain customer relationships, providing status updates and setting expectations.
Review and document product backlog/inventory
Document and maintain current RMA processes, with constant attention to measurable and continuous improvement.
Organize on-time shipments of replacement and/or repaired customer products
Utilize ERP system to manage end to end RMA process
Acts as liaison between repair team, sales team and customer success teams to provide outstanding service
