JOB OVERVIEW

Job Title: Executive Personal Assistant to Optimize Time & Efficiency
Location: Remote
Type: Full-time, 40 hours per week.
Monday to Friday, 12 Noon to 8 pm PHT

About the Role
Are you a proactive, detail-oriented professional with a knack for organization and problem-solving? Are you passionate about optimizing systems, streamlining workflows, and managing tasks to create more time for strategic priorities? If so, this role is for you!
As my Executive Assistant, your mission will be to help me "buy back my time" by taking ownership of recurring, time-consuming tasks, and creating systems that maximize efficiency. This role requires someone who thrives on responsibility, anticipates needs, and delivers results without constant supervision.

Key Responsibilities
Administrative Management
Calendar management: Schedule and coordinate meetings, appointments, and events to ensure alignment with priorities.
Inbox management: Organize, respond to, and filter emails; flag critical items and draft replies when needed.
Document management: Organize and maintain digital files, records, and project documentation.
Personal Task Management
Delegate and follow up on tasks with external service providers and team members.
Oversee household or personal responsibilities such as travel arrangements, event planning, and vendor management.
System Optimization
Audit and improve existing workflows to create more efficient processes.
Set up automation using tools like Zapier, Asana, or other productivity software.
Research and recommend tools, software, or systems to save time and enhance productivity.
Project Coordination
Assist in managing projects by tracking deadlines, milestones, and deliverables.
Prepare status updates, reports, and presentations.
Relationship Management
Act as a liaison between me and key contacts (clients, colleagues, service providers).
Maintain and update contact databases.
Research and Problem-Solving
Conduct research on various topics and provide actionable summaries or recommendations.
Troubleshoot issues proactively and offer creative solutions.
Social media management and administration

Required Skills and Qualifications
Experience
Minimum 3 years as an Executive Assistant, Personal Assistant, or similar role.
Proven track record of managing multiple responsibilities in a fast-paced environment.
Experience working with entrepreneurs or business owners is a plus.
Technical Proficiency
Mastery of productivity tools like Google Workspace (Docs, Sheets, Calendar), Microsoft Office, and Slack.
Familiarity with task management tools such as Asana, Trello, or ClickUp.
Knowledge of automation tools like Zapier or IFTTT.
Skills
Exceptional organizational and time-management skills.
Strong written and verbal communication skills.
Ability to anticipate needs and take initiative without constant direction.
Problem-solving mindset with attention to detail.
Comfortable handling confidential information with discretion.
