Job Summary:
We are seeking a detail-oriented and organized Virtual Assistant to support a range of administrative tasks related to healthcare management. The ideal candidate will be responsible for managing professional Zoom meetings, scheduling and sending reminders for appointments, replying to emails, and assisting with sending Plan of Care documents to doctors' offices. The role requires strong communication skills, proficiency in Microsoft Office, and the ability to learn and adapt to new systems quickly. This is a part-time role with the potential for full-time employment based on performance.

Key Responsibilities:

Meeting Management: Schedule and manage professional Zoom meetings. Ensure reminders are sent out for all upcoming meetings, including notifications sent to your phone the day before.

Email
Management: Respond to emails in a timely and professional manner. Maintain an organized inbox and ensure all communication is handled efficiently.
Document Management: Assist in sending Plan of Care documents to doctors' offices. Ensure that all documents are accurately prepared and sent through the appropriate channels.
System Management: Log into specific systems and assist with the setup and training of new processes. Help your assistant learn and become proficient with these systems.
Fax Checking: Regularly check and manage incoming and outgoing faxes related to healthcare documentation.
Support and Training: If proficient, assist in training additional team members on relevant systems and processes.
Typical Day:

Begin by checking and responding to emails.
Review the calendar for upcoming meetings and appointments, ensuring that reminders are set and sent.
Prepare and send out Plan of Care documents to doctors' offices.
Log into the healthcare management system (Kinnser.net) to assist with data entry and documentation.
Check incoming faxes and handle any required follow-ups.
Organize and prepare any additional documentation or tasks as needed.
Must-Have Skillsets:

Strong communication skills, both written and verbal.
Proficiency in Microsoft Word, Excel, and other Microsoft Office applications.
Excellent organizational skills and attention to detail.
Ability to quickly learn and adapt to new software and systems.
A basic understanding of healthcare, or the ability to quickly grasp healthcare-related tasks.
Nice-to-Have Skillsets:

Advanced knowledge of Microsoft Office, particularly Word and Excel.
Experience with healthcare software (e.g., Kinnser.net).
Previous experience in a similar role.
Strong English skills and the ability to communicate clearly and effectively.
Systems and Software Familiarity:

Microsoft Word, Excel, and Office Suite.
Kinnser.net (training will be provided).
Phone Support:

The role includes both inbound and outbound phone support.
