We are seeking a proactive, self-driven individual to support our commercial real estate team. The ideal candidate will possess a strong work ethic and a passion for making a difference in our organization. This role requires a combination of lease administration and property management knowledge and excellent customer service skills. Marketing skills are a plus.
Lease Administration Key Responsibilities:
- Review Leases
- Abstract Leases
- Input Leases into Yardi
- Calculating and entering rent adjustments
- Working closely with Property Manager
- Move-In/Move-Out Procedures
- Run Rent Rolls
- Run Credit Applications
- Act as liaison between Supervisor, Tenants & Brokers on
- Update Exclusives & Restrictions Lists for all Properties
- Participate in Weekly Zoom to go over all pending matters in the pipeline
- Create Commission Invoices
- Input data into Property Budgets
Property Management Assistant Key Responsibilities:
- Act as the first point of contact for tenant inquiries via
- Coordinate and schedule property maintenance and repair requests
- Track and follow up open maintenance/repair items through HubSpot
- Prepare and send tenant notices (e.g., maintenance memos, lease reminders)
- Maintain accurate records of tenant communications and property-related documentation
- Ensure we have proper certificates of insurance, gross sales reporting, etc. from tenants
- Support with administrative tasks, including e-filing, data entry, and calendar management
- Liaise with vendors and contractors to ensure timely completion of property services
- Reach out to GC’s requesting quotes for work, oversee
- Assist in budget preparation and inputting into the system (Yardi)
- Reviewing invoices from vendors and pairing them with original proposals, if applicable
- Research and recommend tools or systems to streamline tenant management processes
- Assist in preparing ad hoc reports
Marketing Key Responsibilities:
- Input Incoming Leads into CRM
- Reach out to incoming leads via
- Coordinate marketing material creation with graphic designers and content creators
- Plan social media posts on Hootsuite
- Arrange Travel for Company Employees
- Conduct market research and create reports
- Run VOID Reports
- Create and schedule MailChimp
- Update website content
- Update listings on Loopnet/Costar/CREXI
- Work with Supervisor to create Marketing budgets
- Schedule Property Tours

Detail-Oriented: Ability to manage multiple tasks with a focus on accuracy and detail.
Qualifications:
Experience in commercial real estate and property management administration preferred. Specifically retail shopping centers.
Strong customer service skills with a focus on client satisfaction.
Proficient in Microsoft Word and Excel. Yardi, Hubspot, CANVA/MAILCHIMP knowledge is a plus.
Excellent problem-solving abilities and critical thinking skills. Marketing experience a plus. (can be removed, already stated at the beginning)
