Hiring: Full-Time Bookkeeper & Administrative Assistant

Pay: $1150 USD / month
Hours: 40 hours per week
Commitment: 3-month minimum, with potential for long-term (5+ years)
Pay Increases: Available after six months based on performance
Schedule: Flexible, but must be available for check-ins and reporting

About the Role

We are hiring a Bookkeeper & Administrative Assistant to support both financial record-keeping and general administrative tasks. This role is essential for maintaining organized business operations, managing financial data, and assisting with various administrative duties.

The ideal candidate is highly organized, detail-oriented, and proactive in handling bookkeeping, invoicing, scheduling, and daily office administration. You will be responsible for maintaining accurate financial records while also supporting administrative processes such as document organization, client communication, and workflow management.

Must have experience with bookkeeping software (QuickBooks, Xero, or similar) and general office administration
Looking for a self-starter who can maintain financial accuracy, handle day-to-day office tasks, and meet deadlines
Must be comfortable managing data entry, document organization, scheduling, and administrative communication

Trial Structure

One-month paid trial, paid weekly based on performance.
We are hiring multiple candidates for testing (20 hours per week), then keeping the best performers.
After month one, top performers will be working 40 hours per week.

Responsibilities

Bookkeeping & Financial Management
Maintain accurate financial records, including income and expense tracking
Reconcile bank statements and monitor account balances
Process invoices, payments, and accounts payable/receivable
Assist in preparing financial reports and summaries for management

Administrative Support & Data Entry
Manage email correspondence, calendar scheduling, and document organization
Assist in updating and maintaining client databases and spreadsheets
Organize and track business receipts, invoices, and financial documentation
Provide general administrative support to the team as needed

Payroll & Tax Assistance
Process payroll and ensure accurate documentation of employee payments
Track business expenses and assist in organizing financial records for tax preparation

Client & Vendor Communication
Send invoices and follow up on outstanding payments
Communicate with vendors, suppliers, and clients regarding financial and administrative matters
Schedule and confirm meetings, appointments, and follow-ups

Requirements
1+ years of bookkeeping and administrative experience
Proficiency in QuickBooks, Xero, or similar accounting software
Strong organizational and administrative skills
Experience with data entry, document organization, and workflow management
Strong English communication skills (written and verbal)
Highly organized, detail-oriented, and self-motivated
Comfortable with Google Drive, Microsoft Office, or other office management tools

Preferred Skills (Not Required, But a Plus)
Experience in financial reporting for small businesses
Familiarity with CRM tools like HubSpot, Trello, or Asana
Ability to streamline administrative processes and improve workflow efficiency
