We are seeking a highly organized, detail-oriented, and proactive Virtual Administrative & Customer Engagement Specialist. In this role, you will be responsible for supporting daily administrative operations, providing exceptional customer service, executing
Key Responsibilities as follows but not limited to:
1. Administrative Support
Coordinate calendars, schedule meetings, and project time tracking.
Organize and maintain digital files, ensuring all records are accurate and up to date.
Prepare and edit documents, presentations, and reports.
Streamline administrative processes to optimize efficiency.
2. Customer Service
Serve as the first point of contact for customer inquiries across
Resolve customer issues by investigating and identifying quick, effective solutions.
Track and document interactions, feedback, and resolutions to identify improvement opportunities.
3.
Create, proofread, and send
Manage and update mailing lists and contact databases.
Assist in developing social media content, blog posts, and other digital marketing materials.
Track performance metrics and provide reports on campaign outcomes.
4. Outbound Calls & Lead Generation
Conduct outbound calls to potential clients or customers to introduce products, services, or promotions.
Qualify leads, record relevant data, and schedule follow-up calls or appointments as needed.
Collaborate with business development teams to move leads through the pipeline.
5. Collaboration & Process Improvement
Work closely with internal teams (CEO, CTO, Devs) to ensure a seamless customer and prospect experience.
Identify and suggest process improvements for better productivity and team coordination.
Stay current on industry trends, customer service best practices, and marketing strategies.
Required Qualifications & Skills
Experience:
Proven track record in administrative support, customer service, or virtual assistance roles.
Familiarity with
Technical Skills:
Proficiency in Microsoft Office (Word, Excel, PowerPoint) or Google Workspace (Docs, Sheets, Slides).
Experience with social media platforms and basic content creation tools (e.g., Canva).
Comfort with making outbound calls and using VoIP or call management software.
Soft Skills:
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
High level of empathy, patience, and professionalism in dealing with customers.
Self-motivated and able to work independently, managing time and tasks efficiently.
Must be team oriented.
Education & Other Requirements:
High school diploma or equivalent; some college coursework or a degree in Business, Marketing, or a related field is a plus.
Reliable internet connection and a dedicated workspace is a MUST.
