JOB OVERVIEW

The Admin Support plays a critical role in facilitating and coordinating a comprehensive range of eCommerce and wholesale order processing and support services. This position involves collaborating with multiple departments, managing order processing, and handling various customer service tasks. The ideal candidate will possess exceptional attention to detail, strong communication and organizational skills, and the ability to effectively multitask in a dynamic and fast-paced environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

• Process, manage, and coordinate Nuorder (B2B Platform) and eCommerce orders and returns.
• Ensure timely posting of invoices on a daily basis.
• Enter and release pre-booked inventory by collaborating with the Production and Warehouse Departments.
• Responsible for inputting and fulfilling 'KEY' customer orders and processing credits using the ERP system, ensuring data accuracy in customer information, items, prices, amounts, delivery dates, cancel dates, shipping guidelines, adherence to vendor contracts, etc.
• Regularly maintain open order information, ensuring shipping dates are accurate and up to date.
• Monitor delayed orders and ensure they are reviewed daily.
• Serve as the primary point of contact for order tracking, product returns, and carrier issues.
• Process return requests (e.g., order errors, defects, warranties), and refunds on Shopify
• Monitor and track fraudulent orders on Shopify, ensuring proper processes are followed
• Liaise with other departments within the company (e.g., warehouse) to ensure stock availability for order fulfillment.
• Maintain processes to monitor and manage inventory on a daily basis.
• Prepare and maintain the database for electronic data interchange (EDI).
• Plan and oversee the logistical timing for all EDI-based orders from receipt to shipment.
• Manage KPIs for fulfillment metrics and report on a weekly and daily basis as required.


EDUCATION and/or EXPERIENCE:

• College Diploma or University Degree in Supply Chain, Logistics, Business or similar.
• Proven experience as a Fulfillment Specialist or in a similar role
• Strong organization skills with meticulous attention to detail
• Experience with B2C, B2B and ERP system.
• Ability to work in a fast-paced environment and meet tight deadlines
• Effective communication skills and the ability to work collaboratively in a team
• Flexibility to adapt to changing priorities and tasks as needed
• Proficient with all Microsoft programs including Excel and experience using inventory management software.
• Reliable access to high-speed internet, a computer/laptop, and a quiet workspace equipped for calls (headphones/microphone/camera required).
• An active Payoneer account is required.


Job Details:
• Full-Time: 40 hours per week with a three-month probation period.
• Availability: Days, evenings, weekends, Holidays and overnight shifts may be required.
• Commitment: This is a full-time outsourced contractor role; no moonlighting.
