As we continue to grow, we are looking for a reliable, organized, and friendly Part-Time Administration Assistant to support our dynamic team.
This is a fantastic opportunity to work in a creative and fast paced environment while playing a key role in the daily operations of our agency.
Key Responsibilities:
• Client and Talent Management: Publish and maintain accurate and detailed records of talent and client information.
• Administrative Support: Perform general office tasks such as filing, data entry, document organization, and office supply management.
• Logistics Coordination: Help the team with logistical planning for photoshoots, events, and meetings, ensuring everything runs smoothly and according to plan.
• Reporting and Documentation: Assist with generating and maintaining reports related to scheduling, bookings, and agency activities. Ensure all information is accurate and up-to-date.
• Assist with Interviews and Casting Calls: Support the team in collating and entering interview notes onto talent profiles, evaluations, and casting calls. Help manage the scheduling, collect feedback, and assist with the coordination process.
• Administrative - Generate reports for 4 weeks, 3 months, 6 months, 9 months and 12 months follow ups and reviews including renewal check ins. Publish photos of talent on CRM and up-to-date information.
• Social media – SEO – support and build for website engagement.

Mandatory Requirements:
• Valid Working With Children (WWC) Certificate.
• Current Police Check.
• Strong written and spoken English communication skills.
• Previous experience in a receptionist or administrative role, ideally in the entertainment, talent, or fashion industry.
• Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
• Proficiency with Microsoft Office Suite and general office equipment (phone systems, printers, etc.).
• Ability to handle sensitive and confidential information with discretion.
• A flexible and adaptable approach to working in a fast-paced environment.
• Prior experience with scheduling, booking, or coordinating logistics is a plus.
• Will be trained in system used in industry CRM.
Preferred:
Proven experience working with Australian company for more than 1+ years
• Experience in the modelling, talent, or entertainment industry is highly desirable.
• Familiarity with scheduling software or CRM systems is a plus.
