We are looking for a highly organized, client-focused Virtual Receptionist to support our California-based medical spa. The ideal candidate must have Square experience for scheduling and transactions, be proficient in Google Docs and Canva, and possess knowledge of med spa treatments such as microneedling, numbing cream, IV infusion, CO2 laser, facials, and post-care protocols.
Responsibilities:
Client Relations & Scheduling:
Answer phone calls,
Schedule, modify, and confirm appointments via Square
Educate clients on services, pricing, pre-care, and post-care instructions
Follow up with clients for appointment reminders, post-treatment check-ins, and rebooking opportunities
Assist in nurturing leads and client retention with personalized follow-ups and promotions
Administrative & Data Entry:
Process invoices, payments, and refunds using Square
Organize and update Google Docs, spreadsheets, and client records
Assist with data entry, inventory tracking, and maintaining client history
Marketing & Social Media Support:
Create simple graphics, flyers, and promotional materials using Canva
Support aestheticians with online content ideas and engagement
Assist in client outreach via newsletters, promotions, and automated follow-ups
Med Spa Knowledge (Preferred):
Familiarity with treatments like microneedling, numbing cream, IV infusion, CO2 laser, facials, Hydrafacials, and post-care protocols
Ability to answer basic treatment-related questions and educate clients on proper care
Work closely with aestheticians to streamline bookings and ensure clients are properly prepared for treatments
Qualifications:
Previous experience as a receptionist, virtual assistant, or client support specialist (preferably in a medical spa, beauty, or wellness industry)
Proficiency in Square (appointments & transactions), Google Docs, and Canva
Bonus: Knowledge of med spa services and post-care support
Strong organizational and multitasking skills
Excellent written and verbal communication skills
Ability to nurture client relationships and assist in retention efforts
Tech-savvy and proactive in problem-solving
Availability during Pacific Time business hours

Location: Must be familiar with California-based med spa client expectations (remote candidates welcome)
