JOB OVERVIEW

Job Description:

We are seeking a highly organized and communicative individual to join our team as a Part-Time Portfolio Manager / Virtual Manager. In this role, you will manage a portfolio of 400 to 500 events annually, ensuring smooth coordination between clients and staff. This position requires frequent communication and attention to detail to prioritize tasks and maintain excellent client relationships.

Key Responsibilities:

Manage 400-500 client events per year
Communicate regularly with clients via email to send service updates, pictures, and video requests
Use the DJ Event Planner Portal to input event details, respond to clients, and organize tasks (this is the primary tool for the role)
Review and prioritize client requests first thing each morning
Ensure all event details are communicated to staff and confirmed for weekend events
Make reservations, book flights, and coordinate logistics as needed
Conduct 15-20 minute daily check-ins via Zoom with the VA
Assist with nudging clients to provide necessary information and prevent revenue loss
In the future, assist with social media research and growth strategies
Potential for future involvement in sales (though not a current priority)

Requirements:

Strong communication skills and attention to detail
Familiarity with event planning or project management software (experience with DJ Event Planner Portal is a plus)
Ability to manage multiple tasks and meet deadlines
Comfortable working remotely and managing virtual communication
Experience in virtual assistant tasks or event coordination is beneficial
