Job Summary:
We are seeking a highly skilled, detail-oriented, and experienced Virtual Assistant to support the co-founder of Imbue Capital in managing financial reports, bookkeeping, compliance tasks and other general administrative responsibilities for multiple portfolio companies. The ideal candidate should have expertise in QuickBooks Online and a strong background in finance and accounting. This role requires excellent communication skills, the ability to manage multiple priorities, and a strong commitment to confidentiality and discretion.
Key Responsibilities:
Finance & Accounting:
• Maintain company financials through QuickBooks Online for multiple companies, ensuring books are accurate, reconciled, and up to date by recording transaction regularly.
• Prepare and generate monthly and quarterly financial reports, including profit and loss statements, balance sheets, and cash flow reports.
• Create daily cash balance reports and other KPI reports to highlight business performance.
Compliance Support:
• Monitor and ensure compliance with state registrations and filings, including Secretary of State renewals and business registrations.
• Stay on top of deadlines for tax filings, business licenses, and other regulatory requirements.
• Assist with audits, financial reviews, and preparation of necessary documentation.
Administrative &
• Monitor and organize the co-founder’s
• Assist with scheduling and coordinating meetings, using digital calendars effectively.
Document & Workflow Management:
• Organize and maintain financial and administrative documents for multiple businesses.
• Oversee document workflows, including obtaining necessary signatures, approvals, and archiving.
• Help document back-office SOPs (standard operating procedures)
General Administrative Support:
• Conduct research as needed for projects or meetings.
• Manage subscriptions, memberships, and other periodic administrative tasks.
• Assist in preparing presentations or materials for meetings.
• Help follow up on commitments and action items needed for the various portfolio companies.
Qualifications:
Required Skills & Experience:
• Finance & Accounting Expertise: A background in finance and accounting with at least 2 years of bookkeeping experience.
• QuickBooks Online Proficiency: Advanced knowledge and hands-on experience in handling bookkeeping needs for multiple companies. Must be able to record transactions, post journal entries, manage the chart of accounts, and perform reconciliations.
• Technical Proficiency: Advanced skills in Microsoft Excel, Google Workspace, and familiarity with financial analysis tools.
• Attention to Detail: High level of accuracy and precision in financial reporting and bookkeeping tasks.
• Communication Skills: Exceptional written and verbal communication in English, with the ability to draft professional
Preferred Qualifications:
• Experience in U.S. state compliance and Secretary of State filings.
• Familiarity with the financial operations of multi-unit, multi-brand companies.

• Availability during U.S. business hours with occasional flexibility for urgent tasks.
