JOB OVERVIEW

Job Summary:
We are seeking a highly organized and proactive Virtual Assistant to support the management of our vacation home rental properties. The ideal candidate will have experience in the vacation rental industry, excellent communication skills, and the ability to manage multiple tasks efficiently. This role is critical in ensuring that our properties are well-maintained, our guests have an exceptional experience, and operations run smoothly.
Key Responsibilities:
• Guest Communication and Support:
o Respond promptly to guest inquiries and booking requests via email, phone, or messaging platforms.
o Provide detailed pre-arrival information and check-in instructions to guests.
o Assist guests with any issues or requests during their stay, ensuring a seamless and enjoyable experience.
o Follow up with guests post-stay to gather feedback and encourage positive reviews.
• Reservation and Calendar Management:
o Manage booking calendars across multiple platforms (e.g., Airbnb, Vrbo, Upgrade to see actual info) to prevent double bookings.
o Monitor occupancy rates and adjust pricing based on seasonality, local events, and market trends.
o Handle cancellations, refunds, and rebooking processes according to company policies.
• Marketing and Social Media:
o Create and update property listings with high-quality photos, accurate descriptions, and competitive pricing.
o Manage social media accounts to promote the properties, engage with followers, and increase bookings.
o Develop and send email newsletters, special offers, and promotions to past guests and potential customers.
• Administrative and Financial Tasks:
o Coordinate with service providers (cleaning, maintenance, landscaping) to ensure the properties are well-maintained.
o Maintain and organize documents related to the properties, such as rental agreements, guest information, and maintenance records.
• Property Maintenance Coordination:
o Schedule regular maintenance and inspections to ensure the properties are in top condition.
o Monitor inventory levels of supplies and reorder as needed.
o Coordinate with local vendors and service providers for any repairs or emergency maintenance.
• Technology and Automation:
o Utilize property management software (PMS) to streamline operations and improve efficiency.
o Set up and manage automation tools to handle repetitive tasks like guest messaging, pricing adjustments, and calendar updates.
o Integrate various platforms and tools into a centralized system for easy management.
• Compliance and Legal Support:
o Stay informed about local regulations and ensure all properties comply with relevant laws and requirements.
o Assist in drafting, reviewing, and managing contracts with guests, vendors, and service providers.
Qualifications:
• Experience:
o 2+ years of experience as a Virtual Assistant, preferably in the vacation rental or property management industry.
o Experience with property management software (e.g. Hostaway) and booking platforms (e.g., Airbnb, Vrbo) is highly desirable.
o Experience in working with Dubai based vacation home is highly desirable, with familiarity of local regulatory procedures (e.g. DTCM registration)
• Skills:
o Excellent written and verbal communication skills.
o Strong organizational and multitasking abilities.
o Proficiency with office software (e.g., Microsoft Office).
o Familiarity with social media platforms and marketing tools.
o Ability to work independently and manage time effectively.
