About the Role

We are looking for a highly organized and detail-oriented Virtual Assistant (VA) to manage IT staffing and government RFP responses. This role involves sourcing U.S.-based IT candidates, screening them, preparing proposals, and tracking the entire process in Linear.

If you have experience in recruitment, proposal writing, and tracking multiple projects, this is a high-impact, fast-paced role where you will play a critical role in securing government contracts.

???? Key Goal: Manage the end-to-end process of hiring candidates for government IT contracts, ensuring only qualified candidates are sourced and submitted for proposals.

???? Important: You must be able to work some U.S. hours (Eastern Time) to coordinate with agencies and candidates effectively.

Key Responsibilities

1?? Receiving & Reviewing Government RFPs

Read and analyze Request for Proposals (RFPs) from U.S. government agencies.
Identify mandatory vs. preferred candidate qualifications.
Follow all submission instructions carefully (deadlines, format, requirements).
Log RFP details in Linear and relay questions to management within 24 hours.
2?? Recruiting & Sourcing IT Candidates (U.S. Only)

Post jobs on Indeed (USA) and manually search LinkedIn (Free Search) for candidates.
Find W2-eligible candidates (No C2C, No sponsorships).
Preference for New York / New Jersey candidates, but open to others.
Conduct initial screening interviews to ensure candidates meet technical & compliance requirements.
Verify references and work authorization before submission.
3?? Proposal Preparation & Submission

Draft cover letters and format resumes per RFP guidelines.
Prepare reference lists, compliance documents, and pricing sheets.
Update Linear with proposal status and submit for final review before submission.
Follow up with agencies to confirm receipt and respond to additional requests.
4?? Candidate Onboarding & Contract Execution

Notify selected candidates and guide them through W2 employment setup.
Collect and process W-4, I-9, and direct deposit forms.
Ensure smooth background check processing (if required by the agency).
Track candidate start dates and update status in Linear.
Requirements

? 1-2+ years of experience in IT recruitment, VA support, or proposal writing.
? Experience in sourcing U.S.-based candidates (preferred).
? Strong understanding of U.S. work authorization & W2 hiring.
? Ability to analyze complex RFPs and follow instructions exactly.
? Excellent English communication skills (both written & verbal).
? Highly organized & detail-oriented – No room for errors in RFP submissions!
? Experience with Linear, Google Docs, Indeed, and LinkedIn is a plus.
? Must be able to work at least 4 hours overlapping U.S. Eastern Time.
