This position plays a key role in managing patient inquiries, scheduling appointments, and ensuring smooth communication between patients and our healthcare team.
Job Description:
We are looking for a professional, bilingual Virtual Receptionist (Spanish & English) who will provide exceptional customer service in a remote setting. You will be responsible for answering patient calls, scheduling appointments, assisting with general office tasks, and delivering a positive experience for patients. The ideal candidate is detail-oriented, highly organized, and able to handle multiple tasks efficiently in a fast-paced environment.
Key Responsibilities:
Answer Incoming Calls: Respond to patient inquiries, providing information about services, office hours, and general health-related questions.
Appointment Scheduling: Schedule and confirm patient appointments, handle cancellations or reschedules, and update patient records accordingly.
Patient Communication: Manage patient communications through phone,
Data Entry: Accurately maintain patient information in our system, ensuring files are kept up to date.
Billing Inquiries: Address general billing questions, assist patients with billing-related concerns, and direct them to the appropriate tea
Administrative Support: Provide administrative assistance, such as organizing patient records, handling paperwork, and ensuring smooth day-to-day operations of the medical office.
Maintain Confidentiality: Uphold patient privacy by adhering to HIPAA regulations and company policies.
Requirements:
Fluency in English and Spanish (both written and spoken) is required.
Previous experience as a receptionist or in a customer service role within a medical office setting is highly preferred.
Excellent communication and interpersonal skills.
Ability to multitask and manage time effectively in a fast-paced, remote environment.
Proficiency in using office software (e.g., Microsoft Office, Google Workspace, or similar). Experience with EHR systems or electronic scheduling software is a plus.
Must have a reliable internet connection, a quiet home office setup, and a phone system capable of making and receiving calls.
Preferred Qualifications:
Experience working remotely or in a virtual setting.
Knowledge of HIPAA regulations and experience working in healthcare settings is a plus.
Familiarity with scheduling software or telemedicine tools is a plus.
Strong organizational skills and keen attention to detail.
Ability to handle confidential and sensitive information with professionalism.
