We are seeking a highly organized and detail-oriented Assistant to provide top-level administrative support to our executive team. This role requires a proactive individual with exceptional multitasking skills, a high degree of professionalism, and the ability to maintain confidentiality in a dynamic environment.
Key Responsibilities
Calendar Management: Coordinate and manage complex schedules, including meetings, appointments, and travel arrangements.
Communication: Serve as the primary point of contact for internal and external communications on behalf of the executive team.
Meeting Preparation: Prepare agendas, presentations, and meeting materials, and take detailed minutes when necessary.
Travel Coordination: Plan and book domestic and international travel, including flights, accommodations, and itineraries.
Document Management: Draft, review, and organize correspondence, reports, and other documentation.
Project Support: Assist with special projects, research, and follow-ups to ensure timely completion.
Office Coordination: Liaise with staff, vendors, and clients to ensure smooth operations.
Task Prioritization: Anticipate executive needs and prioritize tasks to ensure efficiency and alignment with goals.
Qualifications:
Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
Experience: Minimum of 3–5 years of experience as an Executive Assistant or in a similar role.
Skills:
Exceptional organizational and time management skills.
Excellent verbal and written communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
Strong problem-solving and decision-making capabilities.
Ability to handle sensitive information with discretion and confidentiality.
