Job Title: Virtual Assistant (Automation & Workflow Specialist)

Job Overview:

We are seeking an experienced Virtual Assistant (VA) with advanced knowledge of Zapier, GoHighLevel, and workflow automation to join our team. This role requires a strategic thinker with a strong technical background to take full ownership of building, managing, and automating our systems. The ideal candidate must also possess excellent English communication skills, enabling them to effectively liaise with clients, employees, and other stakeholders. Key Responsibilities:

1. Automation & Workflow Management:
• Design and build efficient workflows for Zapier, GoHighLevel, and other automation tools.
• Automate repetitive tasks (e.g., posting content across platforms, email follow-ups).
• Create and document new workflows based on company processes and goals.
• Monitor and troubleshoot automation errors to ensure seamless operation.

2. Social Media Management:
• Post and schedule content across multiple platforms, including LinkedIn, Instagram, and YouTube.
• Utilize automation tools to maintain a consistent content schedule.
• Collaborate with tools like ChatGPT to generate high-quality posts for review.
• Ensure all social media posts align with branding and company standards.

3. Client Communication & Project Oversight:
• Monitor and manage client communication via GoHighLevel.
• Act as the main point of contact for clients, responding to inquiries and updates on behalf of the business owner.
• Communicate with clients in fluent English, ensuring clarity, professionalism, and excellent customer service.
• Oversee video projects from start to finish, ensuring editors meet client requirements based on email correspondence and company standards.
• Maintain clear communication with clients and team members regarding deadlines and deliverables.

4. Training and Team Coordination:
• Train team members on automation tools, workflows, and processes as needed.
• Document procedures for internal use and ensure team adherence to SOPs.
• Effectively communicate with other employees and team members to ensure smooth project execution.
• Take over and delegate tasks previously managed by the business owner to streamline operations.

5. Strategic Process Improvement:
• Regularly review systems and processes to identify areas for optimization.
• Stay updated on new tools and best practices to implement innovative solutions.
• Ensure all systems and workflows align with company goals and vision.

Requirements:
• Experience in creating and managing workflows in Zapier and similar automation tools.
• Strong knowledge of GoHighLevel or similar CRM platforms.
• Social media management experience, including scheduling and posting across multiple platforms.
• Familiarity with content creation tools like Google Sheets, Notion, Buffer, Hootsuite, or equivalent.
• Excellent English communication skills, both written and verbal, with the ability to represent the business professionally and liaise effectively with clients and team members.
• Project management skills: Ability to oversee multiple tasks and ensure timely completion.
• Technical expertise: Ability to troubleshoot workflows, identify errors, and find solutions independently.
• Attention to detail: Meticulous about client communication, deadlines, and task accuracy.

Preferred Qualifications:
• Background in video production workflows.
• Experience with AI tools like ChatGPT for content generation and task automation.
• Ability to train and onboard new employees on systems and processes.
• Proven track record of successfully managing client relationships remotely.

Compensation:
• Pay will be determined based on experience, skillset, and education level in automation, workflows, and project management.
