JOB OVERVIEW

We are seeking a highly organized and motivated Virtual Assistant to support the operations of our cleaning business. As a remote team member, you’ll play a crucial role in managing day-to-day administrative tasks, ensuring smooth communication with clients, and helping to grow our business. The ideal candidate will be proactive, detail-oriented, and have excellent communication skills. Experience in customer service, scheduling, and business operations is preferred.

Key Responsibilities:
1. Client Communication & Support:
• Respond promptly to client inquiries via email, phone, and chat.
• Provide information about services, pricing, and availability.
• Address client concerns, feedback, and follow up on appointments.
2. Scheduling & Appointment Management:
• Manage and coordinate cleaning appointments, ensuring proper scheduling of teams.
• Send reminders to clients about upcoming cleaning services.
• Update and maintain the calendar and booking system.
3. Administrative Support:
• Assist with invoicing, payment tracking, and client billing inquiries.
• Maintain and update customer records, including cleaning preferences and service history.
• Handle general administrative tasks such as managing emails, filing, and data entry.
4. Social Media & Marketing:
• Assist with social media content creation and posting.
• Respond to social media inquiries and engage with the online community.
• Help track and analyze the effectiveness of online marketing campaigns.
5. Task Management & Reporting:
• Create and manage task lists for team members and ensure timely completion of administrative duties.
• Generate reports on business performance, customer feedback, and appointment trends.
• Help streamline operational workflows and improve efficiency.
6. Customer Relationship Management:
• Help build and maintain strong relationships with clients to ensure repeat business.
• Send follow-up emails for feedback and satisfaction surveys.
• Assist with promotional offers, discounts, or loyalty programs to retain customers.

Qualifications:
• Proven experience as a Virtual Assistant or in a similar administrative support role.
• Excellent communication and customer service skills.
• Strong organizational and time management skills.
• Familiarity with cleaning industry operations is a plus, but not required.
• Proficient in using software tools (Google Workspace, Microsoft Office, CRM platforms, social media management tools).
• Ability to work independently and manage multiple tasks efficiently.
• Highly responsive, detail-oriented, and self-motivated.

Preferred:
• Experience with booking and scheduling software (e.g., Acuity Scheduling, QuickBooks, or other business management tools).
• Background in small business operations or the cleaning industry.
• Knowledge of social media platforms (Facebook, Instagram, etc.) for business promotion.

Working Hours:
• Flexible, part-time/full-time remote position. Availability to respond during business hours is preferred.
