JOB OVERVIEW

Are you a highly organized and detail-oriented individual with experience in calendar management, communication coordination, and quality assurance? Vocal Wallstreet is seeking a Part-Time Virtual Assistant to join our dynamic team and provide essential support in scheduling, communications, and administrative tasks.

Responsibilities:

Calendar Management:

Schedule/reschedule Client or Internal meetings, Important Events, and Deadlines.
No emails - only scheduling the calendars.
Receive a daily task list via Slack or ClickUp Document and ensure alignment between the CEO's calendar, Operations, and Mentorships.

HubSpot Coordination:

Utilize HubSpot to send Standard Follow Up/Meeting Confirmation emails to designated Clients, Leads, etc., before the Due Date.
Coordinate with the Operations or Mentorships Coordinator in HubSpot as the designated Sender for communications.
Quality Assurance:

Lightly update, QC, and schedule Fliers, Graphics, and Miscellaneous Announcements to Clients.
Maintain organized digital and physical filing systems for documents, records, and other materials.

Requirements:

Proven experience as a Virtual Assistant or similar role.
Proficiency in calendar management tools (e.g., ClickUp, Slack) and HubSpot.
Excellent communication skills and ability to coordinate across different teams and stakeholders.
Strong organizational skills with a keen eye for detail.
Ability to work independently and prioritize tasks efficiently.
Familiarity with graphic design software (e.g., Canva) is a plus.
