About Us

We are a subcontracting company specializing in ceiling installations, residential and commercial projects. We are seeking a detail-oriented Virtual Assistant to help with pre-construction, bid calendar management, CRM, digital marketing, financial tracking, and lead generation. We are also in the process of setting up our digital office, integrating automation tools, and managing JotForm AI agents. We welcome great suggestions on improving workflows, marketing, and automation.

Key Responsibilities:

? Pre-Construction & Bid Calendar Management – Track and organize bid opportunities, manage submission deadlines, assist with bid preparation, and ensure all required documents (COIs, W-9s, etc.) are submitted on time.
? CRM Management – Update and manage leads, follow-ups, and client data in HubSpot.
? File & Email Management – Organize emails, store COIs, W-9s, invoices, and keep files structured.
? Lead Generation – Research potential clients, build target lists, and find decision-maker contacts.
? Email Outreach – Send follow-ups and maintain client communication.
? Admin Support – Manage receipts, categorize transactions, assist with QuickBooks, scheduling, and general task coordination.
? Digital Office Setup Assistance – Help us optimize JotForm, HubSpot, QuickBooks, Joist, and other digital tools. We welcome innovative suggestions to streamline and automate workflows!
? JotForm AI Agent Management – Train, monitor, and improve the performance of JotForm AI agents to enhance efficiency in estimating, bidding, and administrative tasks.
? SEO & Google My Business Management – Optimize Google My Business (GMB) profile for visibility and ranking.
? Social Media & Google Ads Management – Create and schedule posts, manage ads, and track campaign performance across Google Ads, Facebook, X, LinkedIn, and other platforms.

Requirements:

? Experience with pre-construction tasks, bid tracking, and proposal management
? Experience with HubSpot (or ability to learn quickly)
? Strong organization skills for file, email, and receipt management
? Experience with QuickBooks or financial recordkeeping
? Ability to suggest and implement improvements for digital office efficiency
? Experience with JotForm (or willingness to learn AI agent management)
? Knowledge of SEO, Google My Business, social media marketing, and Google Ads
? Reliable internet connection and ability to work independently
? Bonus: Experience with Joist, automation tools, and AI-driven workflows
