Virtual Administrative Assistant (Real Estate - Land Sales)

???? Location: Remote (Philippines-based)
? Work Hours: Full-time, 40 hours per week


About the Role:

We are looking for a highly organized and detail-oriented Real Estate Virtual Administrative Assistant to support a top-selling land realtor in Michigan. As the business expands, he needs a dedicated teaUpgrade to see actual infomber who can handle buyer leads, phone calls, text messages, emails, and property listings, ensuring smooth operations and excellent client service. The ideal candidate must have exceptional English skills with little to no accent, as they will be speaking with buyers and scheduling appointments.

Key Responsibilities:

???? Inbound Buyer Lead Management:
• Answer all incoming calls from interested buyers in a professional, friendly manner
• Sound natural and fluent to U.S.-based buyers (a clear, light/no accent is required)
• Take down general information about why the buyer is calling
• Provide basic details about each parcel (no sales required)
• Identify genuinely interested buyers and schedule appointments for Patrick

???? Text & Email Management:
• Respond to buyer inquiries via text and email with general property details
• Monitor and manage all inbound emails from interested buyers
• Use pre-set responses or escalate inquiries to the realtor when necessary
• Organize and categorize emails and messages for easy follow-up

???? Property Listing Management & Documentation:
• Review listing paperwork and ensure all documents are complete
• Create, edit, and manage property listings across various platforms
• Ensure listing descriptions, photos, and details are accurate and appealing
• Work with creative assets (photos, descriptions) to build high-quality property listings
• Prepare and send listing contracts

???? General Administrative Support:
• Maintain and update CRM with buyer lead details and follow-up schedules
• Schedule and track follow-up calls for the realtor
• Assist in preparing contracts, agreements, and paperwork for transactions
• Conduct basic market research to support sales strategies

Qualifications & Requirements:

? Fluent in English with little to no accent (must sound natural to U.S.-based buyers)
? Minimum 2 years of experience in real estate, customer service, or administrative roles
? Strong communication skills (verbal & written) and ability to build rapport with buyers
? Comfortable answering phone calls, texts, and emails from buyers
? Highly organized with strong attention to detail and ability to multitask
? Proficient in Microsoft Office, Google Suite, and CRM software
? Fast and reliable internet connection with a quiet work environment
