Client Overview:
*Anna, one of our first clients, is looking to add a tech-savvy virtual assistant to their team.

Client Requirements:
*Must be able to work 9am-1pm Mountain Time (US)
*Must be able to work 20 hours weekly
*Must have 2+ years experience as a Virtual Assistant or similar role
*Must have expertise in Kajabi, ActiveCampaign, Google Suite, Voxer, Canva, Upgrade to see actual info, Stripe
*Must have a strong understanding of AI tools for efficiency and automation
*Must be highly detail-oriented, adaptable, and able to manage multiple tasks simultaneously
*Must have strong written communication skills with the ability to craft professional emails
*Must be super organized with high attention to detail
*Experience with event coordination and online community management is a plus

*ActiveCampaign

*Voxer
*Canva

Responsibilities/Tasks:

Email
& Communication Management
*Monitor and respond to emails and Voxer messages daily
*Duplicate, draft, proofread and schedule email campaigns in ActiveCampaign
*Communicate with teaUpgrade to see actual infombers, chapter presidents, sponsors, and event coordinators

Event Coordination & Tech Support
*Update event details, spreadsheets, and Upgrade to see actual info boards
*Duplicate, create, and manage event registration pages in Kajabi
*Set up event confirmations, reminders, and promotional emails
*Maintain company & event calendar and in-person event pages

Marketing & Content Support
*Design email headers and basic graphics in Canva
*Ensure brand consistency & replace outdated branding elements across event pages and promo materials in Kajabi and Active Campaign
*Update Testimonials, Media Kit, Sponsorship sales pages, and other pages on Kajabi website
*Maintaining and updating internal membership site and contents through Kajabi

Automation & Systems Management
*Build and test Zapier automations
*Process payments and manage event offers in Stripe
*Ensure accurate integration of data across all systems

General Administrative Support
*Maintain team spreadsheets and project tracking tools
*Attend weekly check-ins and strategy meetings, as needed
*Researching and creating automations where possible and using AI software such as ChatGPT to create efficiencies in this role and the company
