We are seeking a compassionate and detail-oriented Spanish-speaking mental Health Virtual Assistant (Intake Specialist) to support our mental health practice. The primary role of this position is to assist with new client intake, ensuring a smooth and supportive onboarding experience. The ideal candidate will have excellent communication skills, a strong understanding of mental health services, and the ability to provide empathetic support while handling administrative tasks efficiently.
Key Responsibilities:
Client Intake & Onboarding
• Serve as the first point of contact for potential clients via phone,
• Conduct intake screenings to gather necessary client information, including demographics, concerns, and therapy needs.
• Provide information about services, clinicians, and appointment availability.
• Schedule initial appointments and confirm required paperwork completion before the first session.
• Guide clients through intake forms, informed consent, and any required documentation.
Administrative & Support Tasks
• Maintain accurate and confidential client records in the practice management system.
• Verify insurance details and provide clients with billing/payment information.
• Ensure all new client paperwork is completed and uploaded before the initial appointment.
• Coordinate with therapists and staff to match clients with appropriate providers.
• Follow up with potential clients who have inquired about services but have not yet scheduled.
Communication & Client Care
• Offer a warm, professional, and compassionate approach when assisting clients.
• Address general inquiries about therapy services, policies, and procedures.
• Support clients in understanding the therapy process and what to expect in their first session.

Technology & Virtual Assistance
• Utilize electronic health record (EHR) systems for scheduling and documentation. (simple Practice, Theanest, Therapynotes)
• Manage online scheduling tools and ensure timely appointment confirmations.
• Assist with virtual meeting setups, telehealth links, and troubleshooting minor technical issues for clients.
Qualifications & Skills:
• Previous experience in mental health intake, healthcare administration, or customer service is preferred.
• Strong verbal and written communication skills.
• Ability to provide empathetic and professional support to clients.
• Proficiency in using EHR systems, scheduling tools, and virtual communication platforms.
• Highly organized, detail-oriented, and able to multitask in a fast-paced environment.
• Understanding of mental health terminology and confidentiality (HIPAA compliance preferred).
