We are seeking a meticulous and detail-oriented Assistant to join our team, who is able to maintain accurate records.
In this role, you will need to efficiently manage and coordinate schedules for our Contractors and Utility Providers. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving.
We manage over 350 rental properties, and need assistance paying bills, contacting providers, as well as scheduling and following up with appointments. Previous knowledge of our program AppFolio is a plus, but not required (we can train, so must be a fast learner)
Duties:
• Coordinate/follow up with contractors, employees, suppliers with information needed at their request
• Electric & Gas appts, Water appts – scheduling, following up; entering data as needed to system spreadsheets – must keep up to date
• Timely payments of utility bills
• Working with Energy Resolution /Security Blocks/Occupancy verifications
• Working with Planning departments- permits; demolitions
• Verifying Move Ins/Move outs of tenants
• Turn on/Turn off of property services
• Submitting Vacate affidavits & Water applications as needed
• Ordering of Trash Containers with Waste Management companies
• Working through Billing issues/conflicts
• Data Entry - Maintain accurate records of schedules and appointments & payments
• Provide administrative support as needed, including answering phone calls and responding to
Qualifications:
• Proven experience in data entry or a similar role.
• Strong attention to detail and accuracy.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Excellent time management and organizational skills.
• Ability to work independently and as part of a team.
• Fluent in English with strong communication skills, both written and verbal - THIS POSITION ENTAILS BEING ON THE PHONE OFTEN
