JOB OVERVIEW

Role Overview:
We are looking for a proactive, detail-oriented Virtual Assistant to support various aspects of salon operations, marketing, and content creation. This role requires someone who can manage client communications, oversee marketing efforts, and assist in creating engaging content, all while implementing systems to ensure efficiency and consistency. The ideal candidate is empathetic, organized, and skilled in both digital marketing and administrative tasks.

Responsibilities and Percentages
Client Communication & Scheduling (25%)
Managing client inquiries via text and email.
Overseeing the booking system and maintaining scheduling consistency.
Customizing communication sequences for specific client services.
Responding to inquiries and setting up automations for appointment reminders and follow-ups.

Marketing & Social Media Management (25%)
Posting content on Instagram, Pinterest, and Google My Business.
Creating a consistent online presence through content scheduling and engagement.
Responding to and managing client reviews.
Collaborating to create newsletters and blog posts for marketing campaigns.

Content Creation Support (15%)
Organizing and repurposing video/photo content for use across platforms.
Assisting in developing educational content and creating a library of assets.
Formatting and publishing stylist-written blogs or articles.

SEO & Website Optimization (15%)
Conducting basic SEO tasks like keyword research.
Formatting and uploading blogs to Squarespace.
Ensuring proper integration of social media links and features like review carousels or feeds.

Workflow & Automation (10%)
Setting up and monitoring automation systems for repetitive tasks like client intake.
Creating and maintaining SOPs to streamline operations.
Identifying opportunities for system improvements and building automation over time.

Admin & Business Operations (10%)
Tracking client information and maintaining data accuracy.
Managing software and tools like ConvertKit, OpenPhone, and Squarespace.
Supporting operational tasks such as follow-ups, payments, and process improvements.

Qualifications:
Experience with tools like Canva, ConvertKit, Squarespace, and OpenPhone.
Strong organizational skills and ability to multitask effectively.
Knowledge of social media management and basic SEO principles.
Familiarity with automation tools like Zapier is a plus.
Excellent written and verbal communication skills.
Creative and proactive approach to problem-solving.

Preferred Attributes:
Previous experience in a salon, spa, or similar service industry.
Ability to work independently while coordinating closely with the stylist.
Passion for creating efficient workflows and improving customer experiences.
Comfortable working in a high-energy, fast-paced environment.
