JOB OVERVIEW

From The Heart Home Care LLC is a fast-growing in home care company with 12 locations across South Carolina and nearly 500 clients & caregivers. As we continue to expand, we are seeking an experienced Virtual Executive Assistant to support high-level operations. This role requires executive-level expertise, strategic thinking, and leadership in managing business operations, financial oversight, and team coordination—particularly with our international Virtual Assistants (VAs) in the Philippines.

Position: Virtual Executive Assistant
• Location: Remote (USA-Based)
• Reports To: CEO
• Work Hours: Full-time, flexible availability required (may include after-hours based on business needs)
• Salary: Competitive, based on experience

Key Responsibilities:

1. Executive & Business Support:
• Serve as a strategic partner to the CEO, handling confidential business matters with discretion.
• Manage the CEO’s schedule, emails, and high-priority tasks, ensuring efficiency.
• Draft and review executive-level documents, reports, and presentations.
• Handle investor, partner, and stakeholder communications with professionalism.
• Track and analyze business performance KPIs to provide strategic recommendations.

2. Operations & Team Management:
• Oversee and coordinate with offshore Virtual Assistants (VAs) in the Philippines.
• Manage cross-functional projects related to marketing, compliance, finance, and business development.
• Supervise vendor contracts, negotiate pricing, and ensure cost optimization.
• Assist with hiring and onboarding executive-level personnel.

3. Financial & Legal Oversight:
• Monitor P&L statements, budgets, and cash flow reports.
• Liaise with accountants, legal teams, and compliance officers to ensure regulatory adherence.
• Manage contracts, review agreements, and handle high-level business negotiations.

4. Business Development & Client Relations:
• Support business expansion efforts, partnerships, and networking opportunities.
• Provide strategic insights on M&A opportunities and investment initiatives.
• Oversee marketing strategies and client acquisition efforts for private pay and worker’s compensation clients.

Qualifications & Experience:

? Required Experience:
• 5+ years experience supporting CEOs, CFOs, or senior executives in a corporate environment.
• Strong background in business operations, finance, or corporate strategy.
• Expertise in financial reporting, budgeting, and contract management.
• Experience managing remote teams and international VAs.
• Must have worked in high-pressure executive environments where decision-making and strategic thinking were critical.

? Technical & Business Skills:
• Proficiency in Google Workspace, Microsoft Office, CRM systems (Salesforce, HubSpot), and project management tools (Asana, Trello, Upgrade to see actual info).
• Strong financial acumen – able to analyze P&L reports and manage budgets.
• Knowledge of business automation, AI tools, and workflow optimization.

? Soft Skills:
• Exceptional communication skills – both written and verbal.
• Highly organized with the ability to multitask and prioritize effectively.
• Strong leadership and problem-solving skills.
• Ability to work independently and anticipate business needs proactively.

Preferred Qualifications:

? MBA or executive-level certification is a plus.
? Experience in M&A, corporate finance, or business scaling.
? Industry experience in healthcare, home care, or real estate is preferred.
