JOB OVERVIEW

Are you a driven and tech-savvy professional with a passion for organization and real estate? We are a top-producing real estate team and we're looking for a Virtual Assistant to help streamline operations, manage transactions, and enhance our online presence.

Key Responsibilities:

? Administrative Support & Client Communication
- Manage emails, filter inquiries, and respond to messages promptly.
- Organize and maintain digital files, spreadsheets, and MLS data.
- Assist in preparing contracts, agreements, and disclosures.
- Handle inbound and outbound calls, schedule meetings, and provide client support.

? Transaction Management & Coordination
- Oversee contract-to-close processes, ensuring all documents and deadlines are met.
- Communicate with clients, title companies, lenders, and inspectors for seamless transactions.
- Schedule inspections, appraisals, and closing appointments.
- Maintain compliance with brokerage and state regulations.

? CRM & Database Management
- Maintain and update CRM (e.g., Follow Up Boss, KVCore, or similar).
- Organize leads, contacts, and past client data for follow-up sequences.
- Set up email marketing campaigns and automated workflows.
- Track potential buyers, sellers, and past clients to optimize business opportunities.

? Marketing, Social Media, & Branding
- Create, schedule, and manage social media posts (Facebook, Instagram, LinkedIn, etc.).
- Engage with followers, respond to messages, and grow our online presence.
- Assist in creating content, including graphics, videos, and captions.
- Monitor analytics and suggest strategies to improve engagement.
- Write blog posts or newsletters on real estate trends and home-buying tips.
- Help manage **Facebook Ads & Google Ads** campaigns for lead generation.
- Optimize **Google My Business** profile, request and track client reviews.
- Update website and enhance **SEO strategies** for better search rankings.

? Property Marketing & Lead Generation
- Create property flyers, brochures, and listing presentations.
- Assist in virtual tours, video editing, and property highlight reels.
- Engage with potential leads via social media and CRM follow-ups.
- Research and track competing agents’ listings and marketing strategies.

? Calendar Management & Event Coordination
- Manage and coordinate the team’s schedule, appointments, and meetings.
- Assist in organizing **client appreciation events**, open houses, and community gatherings.
- Coordinate with vendors such as photographers, stagers, and inspectors.

? Research & Market Analysis
- Pull property comps, analyze market trends, and generate reports.
- Create **neighborhood & school reports** for potential buyers.
- Monitor industry trends and real estate competitors.

Who You Are:
? Highly **organized and detail-oriented** – you thrive on keeping things in order.
? **Tech-savvy** – you’re comfortable using CRMs, social media platforms, and online tools.
? **Proactive and self-motivated** – you take initiative without needing constant supervision.
? **Strong communicator** – you have excellent written and verbal communication skills.
? Experience in **real estate, marketing, or administrative support** is a plus!
