JOB OVERVIEW

We are seeking a highly organized and motivated Real Estate Virtual Assistant based in the Philippines to provide comprehensive support to our growing real estate team. The ideal candidate will be a proactive problem-solver with excellent communication and time management skills, and a strong understanding of the real estate industry.

Responsibilities:
Appointment and Calendar Management:
Schedule and manage appointments for buyer consultations, property showings, appraisals, inspections, and other transaction milestones.
Send calendar invites to buyers, agents, and other relevant parties.
Confirm attendance 24 hours prior to appointments.
Ensure no scheduling overlaps and coordinate with personal calendars.
Optimize showing routes for maximum efficiency.
Secure property access information (CBS codes, gate codes, etc.).


Email
and Campaign Management:
Manage and execute 33-touch drip email campaigns.
Input and update client information in the database.
Add notes to client records based on agent requests and completed tasks.
Draft and edit email templates for various stages of the buying process (pre-consult, post-consult, offer writing, escrow, etc.).
Send out monthly email campaigns.

Social Media and Content Management:
Draft and edit social media scripts for content filming (using ChatGPT if needed).
Schedule content creation sessions with the creative team.
Post content on behalf of the agent across various social media platforms.

Document and Disclosure Management:
Pull and send disclosures to buyers as requested.
Gather relevant property information from the MLS (offer deadlines, HOA dues, agent notes, etc.).
Update the client's Home Search Dashboard with current information.

Event Planning and Client Outreach:
Assist in planning client appreciation events and outreach initiatives.
Contact vendors to obtain location estimates and secure necessary supplies.
Order and send referral gifts and thank-you notes.
Manage the process of sending snail mail gift cards or packages to clients.

Client Communication and Engagement:
Send out pre-recorded videos and other content to clients at various stages of the buying process.
Maintain consistent communication with clients throughout their real estate journey.

Mentor Support:
Generate monthly reports on agent production, conversion rates, and other key metrics.
Document Standard Operating Procedures (SOPs) for consultations, showings, offer writing, negotiations, and escrow.

Content Creation:
Develop engaging content for a buyer-focused series, including topics such as:
Preparing for the initial consultation
Understanding contingencies and pre-approvals
Tips for searching for a home
What to expect during escrow
Choosing vesting options and shopping for insurance
Client testimonials

Qualifications:
Proven experience as a Virtual Assistant or in a similar administrative role.
Strong understanding of the real estate industry and transaction process.
Excellent organizational, time management, and communication skills (both written and verbal).
Proficiency in Google Suite (Gmail, Calendar, Docs, Sheets) and CRM software.
Ability to work independently and proactively with minimal supervision.
Tech-savvy with the ability to learn new software and tools quickly.
A reliable internet connection and a dedicated workspace.
