ROLE OVERVIEW
This role is for a highly motivated and detail-oriented Purchasing Administrator to join our global supply chain team. It is a critical role involved in managing the procurement and shipping process to ensure supply into all 2San regions (Australia, US & UK). Responsibilities include creating purchase orders, managing production schedules with suppliers, coordinating freight bookings, monitoring shipments and working with regional operations teams to deliver goods into the local warehouses.

KEY ACCOUNTABILITIES/RESPONSIBILITIES
Purchase Order Processing:
Create Purchase Orders (POs) in 2San’s ERP system (Microsoft Business Central), ensuring they align with the required specifications, quantities, and pricing.
Issue POs to Suppliers, ensuring acknowledgment and confirming the lead times for product manufacturing and shipping.
Coordinate with the Finance Team to manage invoice payments, verifying supplier invoices against POs and confirming payments once complete.
Monitor production against schedule and escalate delays / issues as appropriate.
Shipping & Freight Bookings:
Create Shipping Assumptions to document shipment weights / dimensions that will be used for booking flights / containers.
Coordinate freight bookings with freight forwarding partners and suppliers to confirm bookings via sea / air.
Manage production against schedule and coordinate with forwarding partners / suppliers to ensure that all operational requirements are ready in advance to collect goods.
Gather freight quotes and send for approval.
Collect shipping documents and ensure they are communicated to the right parties to allow for smooth export / import / delivery to warehouse.
Receive stock into 2San ERP system upon collection and ensure lot traceability of product is maintained at all times.
Shipment Monitoring & Coordination:
Track Shipment Status for all active shipments and ensure that products are moving as expected against schedule or escalate where there are delays / issues.
Notify Regional Operations teams of inbound shipments and arrange deliveries to the warehouse.
Confirm receipt of goods at the regional warehouse to ensure they are correctly received into the 2San system and quantities / products are verified against expected amounts.
Resolve shipment issues such as delays, damages or discrepancies working closely with freight forwarders / suppliers / operational teams.
Collaboration & Cross-Functional Coordination:
Collaborate with internal teams such as finance and regional operations teams to ensure smooth processing of purchase orders and shipments.
Develop strong relationships with suppliers and freight forwarding partners to maintain close communication and ensure all orders are planned / executed effectively.
Produce reports and notify teams around inbound supply so that they have full visibility of order status including any delays or issues.
Documentation & Reporting:
Maintain accurate records and ensure all key documents are recorded within the 2San system for future reference.
Generate shipment / order / spend reports to provide internal teams with visibility over all live orders.
Gather and store quality records as required for future audit and to meet 2San’s quality and regulatory requirements.
Maintain global order tracker to monitor status for all Purchase Orders through to completion.
KEY SKILLS & EXPERIENCE
Previous experience in supplier relationship management
Previous experience working with ERP systems
Previous experience working with Microsoft Business Central desirable
Strong communication skills
Capable to work under pressure
Excellent English-speaking skills
Proficient in Microsoft Office (Excel, Powerpoint, Word)
Previous experience in procurement / purchasing processes and import / export processes
PERSON SPECIFICATION
Technical Expertise
· A relevant bachelor’s degree, or equivalent professional qualification.
· A minimum of 3 years post qualified experience in a similar role, preferably within a start-up or scale up environment.
OR
· A minimum of 6 years recent experience in a similar role, preferably within a start-up or scale up environment.
AND
· Significant executive support experience
· Proficient in the use of the MS Office suite
· Experience within a fast-paced and high energy environment
· An aptitude for executing business improvement initiatives.
· Experience of troubleshooting problems and providing recommendations.
· Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
· Able to maintain a high level of integrity and discretion in handling confidential information.

Compensation: 50,000 PHP per month
