We are seeking a highly organized and detail-oriented Virtual Project Manager to oversee and track all the moving parts of multiple client projects. This role is critical in ensuring projects are executed seamlessly, deadlines are met, and all aspects are coordinated efficiently. The ideal candidate is a proactive problem-solver with excellent proofreading skills, deadline management expertise, and strong experience as an executive assistant.
Key Responsibilities:
• Track and manage multiple client projects in Trello, ensuring all tasks and deliverables are completed on time and within scope.
• Review client meeting recordings to be able to take note of the progress and additional tasks and deliverables in the client’s Trello portal. Also, be able to create meeting reports (if needed) from these recordings.
• Coordinate deadlines, schedules, and dependencies across multiple projects and stakeholders.
• Proofread and review creative outputs, documents, reports, and communications with a high level of accuracy and attention to detail.
• Serve as the primary point of contact for clients and tea
• Manage communication between various stakeholders, including clients, internal teams, and external vendors.
• Create and maintain comprehensive project documentation, including timelines, task lists, and progress reports.

• Identify and mitigate potential risks that could impact project timelines or deliverables.
• Assist in process improvement initiatives/ SOP Creation and maintenance to enhance workflow efficiency and organization.
• Perform other administrative tasks or responsibilities as assigned.
Key Qualifications:
• Proven experience as a Project Manager, Executive Assistant, or in a similar role managing multiple projects simultaneously. Preferably in a remote set up.
• A Trello expert who can improve and implement efficiency in tracking project deliverables and leads.
• Strong organizational and time management skills with the ability to prioritize effectively.
• Exceptional proofreading and attention to detail.
• Excellent written and verbal communication skills.
• Ability to juggle multiple priorities in a fast-paced, deadline-driven environment.
• Experience with CRM systems, document management, and productivity tools (Trello, Google Suite, Whatsapp, etc.).
• Proactive and resourceful problem-solver with a “get things done” attitude.
• Ability to work independently while maintaining strong collaboration with the team.
• Previous experience working in a client-facing role is a PLUS.
• Laptop or desktop that is at least I5, or I5 equivalent and above.
• Strong internet connection with backup internet available.
