Summary:
The Probate and Trust Legal Assistant/Paralegal will play a critical role within our probate and trust administration team, focusing on the preparation and management of probate documents, trust accountings, and overseeing estate administration tasks. This role involves significant client interaction, requiring an empathetic and service-oriented approach as we guide clients through the complexities of probate and trust proceedings. Familiarity with probate processes, court filings, and trust administration documentation is essential. A successful candidate in this role will excel in a fast-paced, team-oriented environment and demonstrate meticulous attention to detail.

Responsibilities:

Assist attorneys in preparing probate filings, trust accountings, and estate inventories, ensuring all documents meet court standards.
Coordinate the timely filing and tracking of probate and trust documents with relevant courts and agencies.
Regularly communicate with clients to provide updates on their case status, ensuring they feel supported throughout the process.
Conduct thorough reviews of legal documents for completeness, accuracy, grammar, and compliance with court and state requirements.
Manage case data and progress within the firm’s CRM, maintaining up-to-date and detailed client records.
Collaborate closely with the legal team, bringing attention to potential issues or delays in probate or trust administration.
Prepare and manage detailed financial accountings, spreadsheets, and summaries to aid in trust distribution or probate settlements.
Act as a liaison with financial institutions, appraisers, and government agencies to facilitate probate and trust proceedings.
Reporting Structure:
This role reports directly to the Probate Attorney and the Practice Manager. Legal and substantive matters are overseen by the Probate Attorney, while administrative guidance is provided by the Practice Manager. Performance reviews are conducted by the Probate Attorney.

Ideal Candidate Requirements:

Bachelor’s Degree preferred.
Minimum of 2 years’ experience as a legal assistant or paralegal within a law firm, ideally in probate or trust administration.
Proficiency in Microsoft Office, especially Excel for managing financial data, as well as Adobe Acrobat and Trello.
Strong organizational and interpersonal skills with the ability to work empathetically with clients.
High attention to detail, with the ability to handle multiple tasks and meet time-sensitive deadlines.
Demonstrated ability to work collaboratively in a team-based setting.
