We’re seeking for a Pre-Press & Customer Support Virtual Assistant with experience in large print format to help manage orders, assist customers, and ensure print files are accurately prepared for production. This role is essential in keeping the printing process smooth and efficient. It requires strong organizational skills, sharp attention to detail, and experience in pre-press operations within a print production environment.
This is a full-time position, Graveyard Shift (PH) / Daytime (US EST).
Job and responsibilities:
1. Order Processing & Management
- Receive incoming orders and accurately input details into Trello for production tracking.
- Ensure all necessary information (file specifications, customer requirements) is documented correctly.
- Track orders and update internal teams on order status and deadlines.
2. Pre-Press & File Preparation
- Perform pre-flighting to check for missing fonts, low-resolution images, incorrect file formats, and other print-related
issues.
- Prepare ganged files for print and cut workflows, including the addition of cutter registration marks and alignment
guides.
- Format and layout print files based on job requirements such as adhesive vinyl or acrylic panels, using provided
dimensions and material specs.
- Use Adobe Creative Suite (Illustrator, InDesign, Photoshop) to build accurate print-ready files.
- Follow production instructions provided through various formats (e.g., written SOPs, Trello comments,
training videos) to ensure consistent and accurate outputs.
- Ensure final files are optimized for large-format and specialty printing.
3. Customer Service & Communication
- Handle customer inquiries professionally via
- Assist in resolving customer concerns related to order status, file corrections, or printing guidelines.
- Collaborate with sales and production teams to ensure a smooth customer experience.
4. Collaboration & Reporting
- Work closely with the production team to ensure accurate and timely job setups.
- Communicate with (Sales) and (Production Manager) for job-specific updates and training.
- Participate in training sessions and ongoing learning to stay aligned with client systems and quality expectations.
Qualifications:
- Proficiency in Adobe Creative Suite (Illustrator, InDesign, Photoshop)
- Experience in pre-press operations and large-format printing (preferred)
- Knowledge of Onyx or Fiery RIP software (preferred)
- Excellent written and spoken English communication skills
- Strong organizational skills and attention to detail
- Previous experience in print production or graphic design is a plus
