JOB OVERVIEW

Job Title: Part-Time Portfolio Manager & Marketing Assistant

Location: Remote (US Timezone)

Rate: $8 USD per hour

We’re seeking a proactive, self-starting, and detail-oriented individual to join our growing team as a Part-Time Portfolio Manager & Marketing Assistant. This role will be pivotal in helping push projects forward, managing day-to-day admin tasks, and supporting course and curriculum development. You’ll work closely with internal teams and vendors to ensure smooth operations and timely completion of tasks.

Key Responsibilities:

- Project Coordination: Push projects forward, handling backend tasks (non-client facing) and ensuring everything runs smoothly.
- Vendor Management: Fill out paperwork, ensure contracts are processed, follow up with vendors, and gather any additional required information—mostly via email communication.
- LMS Management (Kajabi): Support in managing the learning management system and course content.
- CRM Support (KEAP): Assist with CRM tasks (database of ~5,000 contacts), ensuring proper data management and communication.
- Admin & Research Support: Step in where needed to support administrative tasks and research.
- Financial System Support (QuickBooks): Assist with financial tasks and basic record-keeping.
- End-of-Day Meeting Support: Review WhatsApp chats and ensure all tasks are covered during daily wrap-up meetings.
- SOP Management: Help compile and organize SOPs, identify any missing processes, and work with team members (particularly Sibyl) to fill gaps.
- Course & Curriculum Development: Assist in managing and tracking progress on course development and curriculum management.

Desired Skills & Qualifications:

- Self-Starter: Proactive, intuitive, and capable of working independently.
- Attention to Detail: Ensure everything is organized and executed precisely.
- Willing to Learn: Open to training and shadowing team members for growth.
- Tech-Savvy: Experience with Kajabi, KEAP, QuickBooks, and other admin tools is a plus, but we are happy to train.
- Excellent Communication: Must be comfortable with email-based communication and vendor coordination.
