Your Role:
As a Personal Assistant, your primary goal is to ensure Greg’s productivity by managing daily tasks and providing seamless support. You’ll be expected to manage a wide variety of tasks, from scheduling and travel coordination to more creative and/or technological research and communications. The ideal candidate is organized, detail-oriented, tech-savvy, and comfortable working independently with minimal oversight.
Responsibilities:
• Calendar management: schedule meetings, coordinate across time zones, and send reminders
• Coordinate domestic and international travel, including booking flights, trains, and accommodations
• Research and data entry (e.g., comparing services, compiling vendor lists, etc.)
• Make personal and professional appointments (doctors, salons, etc.)
• Track and manage documents (e.g., medical records, insurance claims, receipts)
• Make phone calls to book appointments, follow up on services, and handle customer support issues (refunds, rescheduling, etc.)
• Place online orders and track deliveries
• Process payments, expense reports, and simple invoicing
• Draft and send
• Maintain and update task management systems (e.g., Notion)
• Conduct personal errands virtually (e.g., sending gifts)
About You:
• Excellent verbal and written communication skills in English
• Strong organizational and time management skills
• Tech-savvy and comfortable using tools like Gmail, Google Calendar, Slack, Notion, 1Password, etc.
• Quick learner and self-starter who can work independently
• Trustworthy, reliable, and detail-oriented
• Able to work across time zones and adjust based on evolving priorities
Working Hours:
• Full-time position (40 hours/week)
• Primarily overlapping with US Pacific Standard Time (PST), with some flexibility to coordinate with European (CET) and Japan Standard Time (JST) when needed
Compensation & Benefits:
• Hourly rate: $5/hour full time (2080 hours/year)
• Fully remote role
• All major holidays PTO
