Overview
A growing producing real estate agent and team leader of a dynamic real estate team is seeking a highly motivated and organized part-time Executive Assistant/Personal Assistant. The ideal candidate will be organized, detail-oriented, proactive, and capable of managing a variety of tasks to ensure smooth daily operations, maximum productivity, and ongoing career development. This role involves administrative support, light personal assistance, coordination tasks, team management, etc.
Key Responsibilities
**Administrative Support:**
- Manage and organize the team leader’s calendar, including scheduling appointments, meetings, and events, with a focus on coordinating weekend itineraries for property viewings.
- Coordinate and confirm appointments with clients, vendors, and tea
- Prepare and maintain documents, presentations, and reports.

**Personal Assistance:**
- Oversee the team leader's daily schedule to ensure efficient time management.
- Assist with ad-hoc personal errands within limits and tasks as needed.
- Coordinate with preferred vendors and manage relationships, such as pre-closing and post-closing checklists.
**Team Coordination:**
Schedule monthly sales meetings with partners and tea
Create a light agenda prior to each meeting to outline discussion points.
Send out calendar invitations well in advance and follow up with reminders to ensure attendance.
Act as a central point of contact for communication between the producing agent (yourself) and other tea
Relay important messages, updates, and directives effectively and promptly.
**Light Social Media Management:**
- Create and manage social media content for the team leader.
- Develop and implement social media strategies to increase engagement and reach.
- Monitor social media channels and respond to inquiries and comments.
**CRM Management:**
- Work with the existing CRM database to identify opportunities for client engagement and business growth.
- Update and maintain the CRM system with current client information and notes.
- Create direct mail or internet marketing campaigns for recent real estate activities
- Generate reports and insights from the CRM to support the team leader's strategic planning.
- Initiate and execute Post transaction follow-up campaigns
Qualifications
- Proven experience as an executive assistant, personal assistant, or in a similar role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills and proficiency in e-mail communications
- Proficient in Microsoft Office Suite (Excel, MSWord) and social media platforms.
- Experience with CRM systems (e.g., Command, Mailchimp, Salesforce, HubSpot).
- Ability to multitask and prioritize tasks effectively.
- High level of discretion and confidentiality.
- Experience in real estate or a related field is preferred but not required.
Hours and Compensation
- **Hours:** Approximately 15-20 hours per week, with the potential to increase hours based on performance and business needs.
