What You'll Do
As a Billing Support Virtual Assistant, you’ll play a vital role in ensuring smooth financial operations across our mentorship programs and online communities. A typical day includes:
Receiving and Sorting Payments
Handling incoming payments and updating records in payment processing systems.
Tracking payment statuses and ensuring accurate documentation.
Managing Accounts
Monitoring client account balances and resolving discrepancies.
Communicating with clients about outstanding balances via phone, Zoom, or
Keeping our accounts receivable database up to date.
Issuing and Posting Bills
Preparing and issuing invoices, receipts, and bills promptly.
Community Billing Management
Overseeing billing for mentorship programs and online communities.
Managing automated billing systems and streamlining processes for efficiency.
Client Relations
Resolving billing inquiries with a solution-focused, customer-first approach.
Collaborating with internal teams to address and communicate account updates.
Data Management and Reporting
Providing management with reliable, clear data on billing activities.
Collaborating with collection departments to ensure seamless operations.
Attention to Detail
Maintaining accurate, organized billing records.
Reviewing and refining processes for consistent improvement.
What You'll Need to Succeed
We’re looking for someone with the following qualifications:
Strong Communication Skills: Written and verbal proficiency to handle client interactions effectively.
Organizational Mastery: Exceptional attention to detail and ability to multitask in a fast-paced environment.
Tech Proficiency: Experience with FreshBooks, Stripe, Kartra, Thinkific, Excel, and project management tools like ClickUp.
Independent Problem-Solving: Ability to troubleshoot, take initiative, and resolve issues strategically.
Team Collaboration: Experience using tools like Slack, Go High Level, and other CRM systems to maintain seamless communication.
