Job Overview:

The Operations Coordinator will be pivotal in our organization's day-to-day operations. This individual will support the smooth execution of our production projects and daily operations, ensuring everything runs seamlessly from pre-production to post-production. This role is ideal for someone passionate about media and production, with strong organizational skills and a proactive approach. The ideal candidate will possess strong leadership capabilities, a strong customer service background, and a track record of achieving operational excellence.

Key Responsibilities

• Oversee client communications, ensuring inquiries are promptly and accurately addressed.
• Schedule and coordinate client meetings, updates, and presentations.
• Keep clients informed about project progress, timelines, and changes.
• Collaborate with production teams to align on client requirements and deliverables.
• Manage project timelines, briefs, proposals, and production schedules.
• Ensure quality and efficiency throughout the video production process.
• Build and maintain strong client relationships, focusing on retention and satisfaction.
• Identify opportunities for upselling and cross-selling services.
• Lead and mentor a high-performing operations team.
• Conduct performance evaluations and provide feedback to staff.
• Address and resolve client concerns promptly and effectively.
• Manage client accounts, ensuring invoices are accurate and up-to-date.
• Conduct industry research to identify trends and provide actionable insights.
• Develop and implement strategies to improve operations and client services.

Qualifications:

• Bachelor’s degree in Business, Communication, or a related field.
• 3+ years of experience in client relations, project coordination, or operations management.
• Strong leadership and team management skills.
• Excellent written and verbal communication abilities.
• Proven success in building and maintaining client relationships.
• Proficiency in managing multiple projects and meeting deadlines.
• Familiarity with video production workflows and industry trends.
• Strong problem-solving and organizational skills.
• Experience with project management tools, CRM systems, and productivity software.
• Flexible, proactive, and client-focused approach.
• Photo and Video Editing (especially in Real Estate Media) experience is a HUGE plus.
