We are an exciting new company based in Marbella, Spain, currently establishing ourselves in the market and preparing for rapid growth and expansion. Our mission is to provide employment solutions for international professionals who need an official employment contract as part of their relocation process to Spain.
As we scale up, we are looking for a highly organized and proactive virtual assistant to take charge of our operational processes, client onboarding, payroll management, and compliance documentation.
???? This is initially a part-time position (initially10-15 hours per week), with the opportunity to transition into a full-time role as the business grows. If you prove to be the right fit, you’ll have the chance to grow with us and take on more responsibilities in a key role for the company.
What You Will Do (Key Responsibilities):
? New Employee Onboarding & Administration
• Collect and verify all required documents for new employees.
• Communicate with accountants and legal professionals in Spain to ensure compliance.
• Ensure a smooth and structured onboarding process for new employees.
• Manage
? Monthly Payroll & Financial Administration
• Ensure payroll is processed correctly and on time.
• Collect invoice details from employees and coordinate with accounting.
• Maintain an up-to-date record of employees’ financial balances.
? Compliance & Corporate Structure Management
• Maintain corporate governance standards (documentation, reporting, contracts).
• Ensure proper substance requirements are met for the company and employees.
• Organize and track all company-related communication (clients, suppliers, accountants).
• Develop clear internal guidelines and onboarding materials for future employees.
? General Operations & Business Support
• Handle key communications with relevant partners in Marbella.
• Maintain structured and efficient workflows as we grow.
• Ensure all processes run smoothly and professionally, allowing the CEO to focus on expansion.
What We Are Looking For (Skills & Qualifications):
???? Experience in Virtual Assistance, HR Administration, Payroll, or Compliance Management.
???? Strong organizational skills and ability to handle multiple tasks in a fast-growing company.
???? Experience working with international businesses and European compliance standards.
???? Familiarity with payroll systems, document management, and accounting processes.
???? Ability to create and improve structured workflows and processes.
???? Excellent English skills (spoken and written).
???? Spanish knowledge (a plus, but not required).
???? Comfortable working in a dynamic environment with an entrepreneurial mindset.
