Job Title: Office Manager Location: Kingdom Of Rapha (Heaven of healing)

Job Summary: We are seeking a highly organized and proactive Office Manager to serve as the first point of communication for our medical facility. The Office Manager will ensure a smooth and positive experience for new and existing patients by managing communication, onboarding, and follow-ups. This role is central to the patient journey and involves coordinating administrative processes to provide seamless service and support.

Responsibilities:
1. Patient Communication: • Serve as the primary point of contact for patients via text message and email. • Respond promptly and professionally to patient inquiries, providing clear and helpful information.
2. New Patient Onboarding: • Send out necessary forms for new patients to complete before their first appointment. • Input new patient information into the patient portal to initiate lab work. • Guide patients through the onboarding process, including explaining what to expect and providing timelines for their patient journey.
3. Patient Follow-Ups: • Conduct weekly follow-ups with patients to check in and answer any questions they may have. • Ensure patients feel supported and informed throughout their treatment journey.
4. Coordination and Documentation: • Maintain accurate patient records in our portals and databases. • Collaborate with medical staff to ensure all patient information and documentation are up to date.
5. Administrative Support: • Support the day-to-day operations of the office, including handling correspondence and ensuring a welcoming environment. • Monitor and streamline administrative processes to enhance efficiency and patient satisfaction.

Qualifications:
• Excellent verbal and written communication skills.
• Strong organizational skills and attention to detail.
• Ability to manage multiple tasks and prioritize effectively.
• Familiarity with medical office operations, patient portals, and lab coordination is preferred.
• Proficiency in using technology for communication and data management (e.g., email platforms, patient portals, and scheduling tools).
• A compassionate and patient-centered approach to communication and service.
