Job Overview
ABC Company is seeking a highly skilled and proactive Virtual Assistant (VA) to provide administrative and operational support for Charlene’s home health agency. This role involves a variety of responsibilities, including appointment scheduling, patient record management, HR assistance, and billing support. The ideal candidate should be detail-oriented, organized, and capable of handling multiple tasks efficiently while demonstrating strong communication and problem-solving skills.
Key Responsibilities
Administrative Support:
Handle appointment scheduling and reminders for clients.
Maintain and organize patient records in the EHR system (Notable).
Assist with insurance verifications and claims processing.
Manage
Coordinate with healthcare professionals to ensure seamless communication and care.
Assist in creating and implementing Standard Operating Procedures (SOPs).
Client Interaction & Support:
Respond to patient inquiries and correspondence professionally.
Pre-qualify potential clients based on established criteria.
Manage referrals and gather necessary information for assessments.
Effectively communicate the agency’s services to clients and answer any related questions.
HR & Hiring Assistance:
Review and organize incoming job applications.
Respond to applicants and conduct initial screenings.
Assist in onboarding and training new hires to ensure a smooth transition.
Maintain HR records and assist with recruitment processes.
Billing & Financial Support:
Provide assistance with medical billing and claims submissions.
Coordinate with providers to resolve billing issues.
Ensure accuracy in financial transactions related to patient care.
Organizational & Technical Support:
Help streamline workflows and processes for better efficiency.
Provide insights and suggestions for improving operational procedures.
Utilize various healthcare-related software and tools effectively.
Requirements & Qualifications:
Prior experience in a similar role (Medical Receptionist, Medical Admin Assistant, Medical Coder, Provider Support, or similar).
Familiarity with Electronic Health Records (EHR) systems, preferably Notable.
Strong communication skills (written and verbal) to handle patient and provider interactions.
Excellent organizational and time-management abilities.
Ability to take initiative, problem-solve, and suggest process improvements.
Proficiency in administrative tasks, including managing
Comfortable using various software tools, especially in healthcare and HR management.
High attention to detail and ability to work independently.
Adaptability to a fast-paced and evolving work environment.
Bilingual (preferred but not required).
