JOB OVERVIEW

Role Overview

We are looking for an HR Coordinator to undertake a variety of HR administrative duties.

The HR Coordinator duties involve a wide range of support activities inside our HR department, from coordinating meetings to maintaining our employee electronic database to posting job ads. An important part of the role will be to act as the liaison between HR Manager and candidates/employees, ensuring smooth communication and prompt resolution of requests and questions. HR Coordinator also assists in creating job postings, processes, and documents.

The Human Resource Coordinator also aids with and facilitates the human resource processes at all business locations.

Ultimately, the HR Coordinator ensure our HR department is organized and operates smoothly to attract, hire and retain our employees.

Work Schedule:

9am-8pm est time with flexibility

Responsibilities

Assist with day-to-day operations of the HR functions and duties
Coordinate full life cycle recruitment process
Process documentation and prepare reports relating to personnel activities (staffing, recruitment, interviews, & on-boarding, etc)

Field employee requests regarding human resources issues, rules, and regulations
Coordinate communication with candidates and conduct initial phone screening.
Assist in the coordination of new hire orientation for newly hired employees
Assist in expanding recruitment channels to ensure on-going pipeline of candidates.
Provide administrative and organizational support during on-site interviews.
Coordinate and maintain centralized electronic folders for on-site interviews
Create job postings
Conduct phone screening
Prepare and gather all interview documents and ensure sharing with hiring managers.
Data entry: Utilize the complete functionality of the applicant tracking system and maintain data integrity
Prepare candidates for interviews, providing logistical information, recruitment process, and expectations for follow-up.
Develop active and passive candidate pipelines through Career Forms.
Generate an offer letter.
Track and gather data on Recruitment Activities for monthly reports.
Source qualified candidates through a wide variety of channels and manage the end talent acquisition process. Ensure a positive candidate experience with frequent and timely communication throughout talent acquisition process, share manager feedback and appropriately disposition all candidates.
Conduct internal audits of employee records. Share findings with HR manager.
Conduct new hire outreach to ensure acceptance of offer.
Performs customer service functions by answering employee requests and questions.
Coordinate completion of Forms I-9 verifies I-9 documentation and maintains I-9 files.
Tracks status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process.
Schedules meetings and interviews as requested by the manager of HR.
Files documents into appropriate employee files. Prepares new-employee files.
Performs other related duties as assigned.

Requirements

HR Coordinator skills include excellent organizational ability, familiarity with HR software and strong communication skills. To be an ideal candidate for the human resources coordinator position, you should be able to work autonomously and remain calm under pressure. Following our training sessions, you’ll be able to manage the full lifecycle recruitment process. (e.g., candidate sourcing, recruitment & onboarding new hires.)

Working understanding of human resource principles, practices, and procedures.
Ability to function well in a high-paced and at times stressful environment.
Proficient with Microsoft Office Suite or related software.

Education and Experience:

Bachelor's degree in human resources or related field highly desirable and/or equivalent experience
At least three years of related experience is required.
