JOB OVERVIEW

The Head of Leasing Virtual Assistant is responsible for overseeing and managing all aspects of leasing operations in a virtual setting. This includes supporting leasing agents, organizing leasing schedules, managing tenant inquiries, ensuring lease agreements are prepared and signed, and ensuring compliance with company policies. The position requires an individual who is highly organized, tech-savvy, and able to handle multiple tasks simultaneously in a remote work environment.


Key Responsibilities:

Provide administrative support to leasing agents, managers, and other relevant teams.
Assist with lease preparation, renewals, and terminations.
Manage lease documentation and ensure all necessary forms are completed accurately.
Coordinate and track the status of lease applications and approvals.
Provide virtual assistance in scheduling and organizing property tours, meetings, and open houses.
Maintain positive relationships with current tenants and prospective tenants through regular communication and updates.
Ensure tenants are kept informed about the leasing process and important deadlines.
Use property management software and CRM systems to track leasing progress.
Coordinate online communication platforms and document management systems to ensure smooth virtual operations.
Troubleshoot any technical issues related to leasing software and systems.

Experience:

Strong communication skills (both written and verbal) to liaise effectively with tenants, clients, and the leasing team.
Attention to detail and a high level of organization to manage multiple tasks and deadlines.
Proficiency in property management software (AppFolio) and using leasing tools or app.
Tech-savvy with the ability to troubleshoot and adapt to new software and tools quickly.
Time management skills, with the ability to handle competing priorities in a remote environment.
Knowledge of leasing processes, including drafting lease agreements, conducting tenant background checks, and understanding landlord-tenant laws.
Ability to work independently and maintain productivity without direct supervision.

Customer service-oriented with the ability to handle tenant concerns and complaints in a professional and efficient manner.
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspace.
Flexibility and adaptability, as the role may require adjusting priorities based on business needs.
Confidentiality and the ability to manage sensitive information responsibly.
