JOB OVERVIEW

Job Title: HR and Administrative Specialist (Bilingual: Filipino & Chinese; Chinses Prefered)
Location: Philippines, Manila
Company Overview: We are a leading enterprise in the furniture industry with a global presence in the United States, China, Vietnam, India, and beyond. As we continue to expand, we are seeking an experienced HR and Administrative Specialist to support our Philippine operations, establish an office from scratch, and ensure smooth business operations.

Key Responsibilities:
1. Compliance:
• Ensure adherence to local labor laws and regulations.
• Manage employee payroll, taxation, and compliance processes.
• Conduct employee background checks to ensure hiring quality.
• Maintain and update employee records in accordance with company policies.
2. Administrative Duties:
• Office Setup and Management:
o Identify and lease office space, establishing and managing the company’s physical presence.
o Oversee day-to-day office operations, including procurement and maintenance of equipment.
• Attendance and Payroll Management:
o Track and manage employee attendance records.
o Coordinate payroll processing to ensure accurate and timely salary distribution.
• Policy Implementation:
o Develop, communicate, and enforce HR policies and procedures.
o Regularly update policies to align with local regulations and company standards.
• Operational Support:
o Manage administrative tasks, including record-keeping, document preparation, and correspondence.
3. Team Coordination:
• Establish and maintain effective communication channels with team members across various locations in the Philippines.
• Conduct regular check-ins and meetings to ensure alignment and address team needs.
• Coordinate logistics for employee gatherings or trainings when necessary.

Qualifications and Skills:
• Language Proficiency: Fluency in Filipino and Chinese (both written and spoken) is mandatory.
• Experience: Minimum of 3-5 years in HR and administrative roles, with experience in establishing offices and managing remote teams preferred.
• Education: Bachelor’s degree in Human Resources, Business Administration, or related field.
• Knowledge: In-depth understanding of Philippine labor laws and HR best practices.
• Tech-Savvy: Proficient in using HR management software, attendance tracking tools, and virtual communication platforms.
• Soft Skills: Excellent interpersonal, communication, and organizational skills.
• Adaptability: Ability to manage and prioritize tasks in a dynamic, fast-paced environment.
• Problem-Solving: Strong conflict resolution and decision-making abilities.
